Job Description

Job Description Based on the volume of applications received, this recruitment may close at any time. Applicants are encouraged to apply as soon as possible. Under direct supervision, responsibilities include, but are not limited to: Perform general office duties such as opening/sorting/distributing mail, answering the main phone line, making copies, and sending faxes. Provide support to the Students, Faculty, Staff, the Administrative Assistant 3, and the Department Chair, when needed. Interact with students and staff in a professional manner. Answer emails sent to the department address and handle requests made in person by students, faculty, and staff. Maintain records with confidentiality. Use MS Office suite, including Word, Excel, and Teams. Answer questions about the department and its programs. Prepare and send print requests to Printing Services. Collect and file syllabi for classes before the semester begins. Collect and file final grade backup from faculty after the semester ends. File, store, and retrieve both physical and digital data. Assist in organizing the twice-annual departmental meetings and other faculty meetings as required. Prepare Period Activity Pay Agreements (LOA Contracts) for faculty. Other duties as assigned by the AA3 and/or the Chair. Required Qualifications Graduation from high school or equivalent education and two years of clerical and administrative support experience which included experience in one or more of the following areas: maintaining records and files; preparing a variety of materials using a personal computer or word processor; assisting customers in completing forms and applications; and/or performing secretarial duties in support of professional staff; OR one year of experience as an Administrative Assistant I in Nevada State service; OR an equivalent combination of education and experience as described above.
