Job Description
Overview:
We are seeking a highly organized and detail-oriented individual to join our team as a Receptionist/Administrative Assistant. This position plays a crucial role in providing excellent customer service and administrative support in a medical office setting. The ideal candidate will have a compassionate and patient-focused attitude, experience with medical scheduling, and exceptional patient service.Responsibilities:
- Greet and check-in patients, ensuring a warm, positive and welcoming experience
- Answer phone calls and direct them to the appropriate department or individual
- Schedule appointments for patients using an EHR software and document all client contact.
- Complete billing and insurance verifications
- Coordinate client scheduled and provider schedules
- Complete processing of claims and medical billing each day Coordinate meetings / organize charts for clinical peer reviews
- Follow-up with clients to ensure that they are engaged in the treatment process
- Referral management
- Assist in and develop HIPAA compliant coordination of care with outside agencies
- Co-organize / engage in treatment team meetings
- Verify patient insurance information and collect co-pays as necessary
- Maintain patient records and ensure accuracy of information
- Assist with administrative tasks such as filing, faxing, and scanning documents
- Adhere to HIPAA regulations to maintain patient confidentiality
- Collaborate with medical staff to ensure smooth operations at the front desk
- Assists with the development and implementation of behavioral health marketing strategies such as supplementing social media posts and attending community outreach events when needed.
Qualifications:
- High school diploma or equivalent
- Previous experience an administrative assistant in a medical office or similar healthcare setting preferred
- Familiarity with medical terminology and procedures
- Ability to schedule appointments efficiently and manage a busy calendar
- Strong communication and customer service skills with the ability to handle difficult situations professionally
- Proficiency with Microsoft office suite
- Knowledge of Simple Practice or similar electronic health record (EHR) system is a plus
- Excellent organizational skills and attention to detail and multitasking abilities
- Familiarity with social media management and marketing a plus We are hiring 1 position full-time and 1 position part-time.
