POSITION SUMMARY
The Front Desk/Administrative Assistant is the first point of contact for clients, visitors, and community partners at HealHub Behavioral Health. This position ensures a welcoming, professional, and supportive environment for all clients—especially those experiencing mental health challenges, substance use disorders, or housing instability. KEY RESPONSIBILITIESClient Reception & Customer Service Greet clients warmly and professionally as they arrive. Check clients in, verify appointments, and notify clinicians promptly. Answer phone calls, return voicemails, and respond to general inquiries. Assist clients with directions, paperwork, and basic service questions. Administrative & Office Support Schedule and confirm appointments for behavioral health, SUDP, peer support, and assessments. Maintain lobby cleanliness, organize brochures, and ensure the office is presentable at all times. Manage office supplies and communicate inventory needs. Assist with printing, scanning, filing, and uploading client documents to the
EHR. EHR
& Documentation Support Input client demographic information and upload forms to the EHR accurately. Verify insurance eligibility when needed. Support providers by preparing intake packets and organizing charts. Ensure documentation meets HealHub Communication & Coordination Provide daily updates to supervisors about client flow, incidents, or operational issues. Communicate closely with clinical staff to prevent scheduling conflicts. Assist with sending reminders, letters, and support documents to clients when needed. Compliance & Safety Follow all HIPAA confidentiality and privacy requirements. Support emergency protocols (mental health crises, safety concerns). Maintain client sign-in logs and visitor logs per WAC requirements. Ensure no unauthorized persons access protected areas of the office.
REQUIRED QUALIFICATIONS
High school diploma or equivalent. Strong customer service and communication skills. Ability to maintain professionalism with clients experiencing crisis or behavioral challenges. Basic computer proficiency (email, EHR systems, scheduling). Ability to multitask in a fast-paced clinical environment. High level of responsibility, punctuality, and reliability.
PREFERRED SKILLS
Experience in a behavioral health, medical, dental, or social services office. Familiarity with HIPAA regulations and clinical documentation. Experience with EHR systems. Bilingual preferred but not required.
WORK ENVIRONMENT
Front-facing role with continuous client interaction. May require occasional evening or weekend coverage. Requires sitting, walking around the clinic, and handling paperwork.
