Job Description
Position Summary The Non-Clinical Intake Coordinator is responsible for managing patient referrals, intake documentation, scheduling, and communication between patients, families, healthcare providers, and insurance companies. This role supports the admissions and intake process while ensuring accurate records and excellent customer service. Clinical certifications such as Certified Nursing Assistant (CNA) or Certified Medical Assistant (CMA) are preferred to assist with medical terminology and patient coordination, but this is a non-clinical administrative position. Essential Duties and Responsibilities Receive and process patient referrals and intake information Verify insurance eligibility and obtain authorizations when required Collect, review, and maintain patient records and documentation Coordinate communication with physicians, hospitals, case managers, and patients Schedule appointments, assessments, or admissions Enter accurate patient information into electronic medical record (EMR) systems Ensure compliance with HIPAA and company confidentiality policies Answer incoming calls and provide professional customer service Track intake status and follow up on pending documentation Maintain organized filing systems and intake logs Assist office staff with administrative support duties as needed Qualifications High school diploma or GED required CNA or CMA certification required Previous experience in healthcare intake, admissions, scheduling, or medical office support preferred Knowledge of medical terminology and insurance verification processes Strong computer and data entry skills Experience with EMR/EHR systems preferred Excellent communication and organizational skills Ability to multitask and work in a fast-paced environment Skills and Competencies Attention to detail Professional phone etiquette Customer service oriented Time management skills Ability to maintain confidentiality Team collaboration Problem-solving abilities Physical Requirements Prolonged periods of sitting and computer work Occasional lifting of office supplies up to 20 pounds Ability to communicate effectively in person and by phone Work Environment Office or healthcare administrative setting Monday-Friday schedule with occasional overtime depending on workload Preferred Experience Home health, hospice, skilled nursing, medical clinic, or healthcare office experience Familiarity with Medicare, Medicaid, and private insurance processes For interest please send your resume to cindy.estrada@unitedwesta.com
