Job Description
Job Overview We are seeking a dynamic and organized Home Care Office Admin to join our team and ensure the smooth operation of our home care services. This vital role involves managing administrative tasks, coordinating schedules, supporting communication between clients and caregivers, and maintaining a welcoming office environment. The ideal candidate will be energetic, detail-oriented, and possess excellent organizational and customer service skills. This position offers an engaging opportunity to contribute to a compassionate healthcare environment while utilizing your office management expertise. Responsibilities Serve as the first point of contact at the front desk, greeting visitors and clients with professionalism and warmth Manage multi-line phone systems, directing calls efficiently and providing exceptional customer support Handle scheduling and calendar management for caregivers, clients, and staff using various software tools Maintain accurate records through data entry, filing, and document proofreading to ensure compliance and organization Utilize office management software such as QuickBooks, Microsoft Office, and Google Workspace to perform bookkeeping, invoicing, and administrative tasks Support billing processes, including invoicing, payment tracking, and basic bookkeeping duties Assist with clerical duties such as filing, photocopying, proofreading documents, and managing correspondence Provide excellent customer service by addressing inquiries promptly and professionally via phone or email Support medical or dental receptionist duties as needed, including appointment scheduling and patient record management Ensure the office runs smoothly by managing supplies inventory and maintaining a clean, organized workspace Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Experience with QuickBooks or similar bookkeeping software is highly desirable Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Bilingual abilities are a plus to serve diverse client needs effectively Exceptional phone etiquette and customer service skills for handling inquiries professionally Proven clerical experience with data entry, filing, proofreading, and document management Familiarity with multi-line phone systems and front desk operations in an office setting Ability to manage calendar appointments efficiently using digital tools Strong time management skills to prioritize tasks accurately throughout the day Personal assistant or medical/dental receptionist experience is advantageous but not required Join us in making a difference by supporting our home care team with your administrative expertise!
