Job Description

Position Summary MARS Roofing is seeking a highly organized and detail-oriented Sales Administrator to support our growing residential roofing sales team. This position serves as the primary administrative liaison between Sales, Production, Customer Service, and Accounting to ensure a seamless customer experience from lead generation through project completion. The ideal candidate will possess exceptional organizational and communication skills, thrive in a fast-paced environment, and have experience coordinating multiple priorities while maintaining accuracy and professionalism. Essential Duties and Responsibilities Provide daily administrative support to the Sales Manager and Sales Representatives. Create, review, and maintain customer files, contracts, proposals, and project documentation. Enter and maintain accurate customer information within the company's CRM system. Schedule appointments, inspections, customer meetings, and follow-up activities. Track sales opportunities and maintain accurate pipeline reports. Coordinate communication between Sales, Production, Customer Service, and Accounting to ensure timely project progression. Monitor contract status, permits, insurance documentation, supplements, and change orders. Prepare sales reports, KPI dashboards, commission reports, and performance metrics for management. Assist with onboarding and training new Sales Representatives on CRM processes and administrative procedures. Ensure all required documentation is complete before projects are submitted for production. Maintain organized electronic and physical filing systems. Assist customers by answering questions regarding project status, scheduling, invoices, and documentation. Support permit processing and material order coordination when necessary. Monitor outstanding documentation and follow up with customers, insurance carriers, and internal departments. Coordinate sales meetings, prepare agendas, and distribute meeting materials. Assist with recruiting activities, sales events, and marketing initiatives as requested. Maintain confidentiality of customer information and company proprietary data. Perform additional administrative duties as assigned. Qualifications Associate's degree preferred; High School Diploma or GED required. Minimum of three (3) years of administrative experience, preferably supporting a sales organization. Experience within the roofing, construction, restoration, or home improvement industry is strongly preferred. Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint). Experience using CRM software (Salesforce, JobNimbus, AccuLynx, JobProgress, or similar platforms) preferred. Excellent written and verbal communication skills. Strong organizational and time management abilities. Ability to prioritize multiple tasks while meeting deadlines. Exceptional attention to detail and accuracy. Professional demeanor with outstanding customer service skills. Ability to work independently and collaboratively within a team environment. Preferred Qualifications Experience supporting outside sales teams. Knowledge of insurance restoration processes. Familiarity with residential roofing terminology and project lifecycle. Experience preparing reports and analyzing sales performance metrics. Physical Requirements Ability to sit, stand, and walk for extended periods. Ability to lift up to 25 pounds occasionally. Frequent use of computers, phones, and office equipment. Ability to occasionally visit job sites or attend company events. $65,000.00 - $68,000.00 per year
