Surgical Coordinator LEVEL:
Non- Exempt (40 hours per week)LOCATION
This position is fully on-site and requires regular, in-person attendance at the office; remote or hybrid work arrangements are not available.REPORTING RELATIONSHIP
Rosenbloom Center on Low Vision and Aging Clinical ManagerESSENTIAL JOB FUNCTIONS
Coordinates all aspects for surgical patients of the Illinois Eye Institute, primarily patients of the Alfred and Sarah Rosenbloom Center on Vision and Aging Schedule all patient surgeries and pre-operative appointments, including those with the patient's primary care physician, surgical facility, ophthalmologist, technician, and schedule any needed emergency add-on surgeries. Acts as liaison to the surgeon, primary care doctor, and surgical center for all pertinent surgical information from the Illinois Eye Institute Verifies patient demographic information, insurance information, diagnosis code, and CPT code. Determines patient insurance coverage and eligibility for service and financial support Ensures that all billing tasks are completed on a daily basis, including reports on Kept Appointments Without Charges and Unbilled Encounters Acts as a backup to the administrative staff when needed Manages the surgeon's surgery scheduling templates and coordinates scheduling with the appropriate surgical center/hospital Ensures all surgical cases are scheduled in a timely manner in accordance with the Physician or Surgeon's directions Answers telephones and emails as well as common questions about surgical times, appointments, and instructions. Coordinates with billing and insurance companies to obtain eligibility and pre-certification for surgical procedures, including authorization and collected deductibles from surgery-related charges. Reviews and provides all written pre- and post-operative instructions with patient and caregivers Discusses financial responsibility with patients prior to surgery and coordinates collection of all copays for materials and procedures related to surgery. Issues reminders regarding patients' upcoming appointments and reviews surgical information with patients 1-3 days prior to the surgery date. Ensures patients maintain post-op appointments Responsible for inputting patient information into surgical documents such as surgical templates, surgery reservations, and other pre- and post-operative documents. Keeps track of all surgeries within the department and accurately documents patients' surgery journey in their electronic medical record. Provides support and initial problem resolution on behalf of patients, families, attending staff, residents, students, and other departments in resolving day-to-day operational issues Establishes service-specific tasks in the clinical system, such as appoint data/time, prescription eyewear orders, collects co-payment and payments on account from patient, complete reconciliation as necessary Receive and review operative reports and bills accordingly. File all related surgical documents into the patient's electronic medical record, including pre-operative paperwork, operative clearance, insurance cards, surgery referrals/authorization, and operative reports in a timely manner. Assists with ordering of supplies Other responsibilities as directedREQUIRED KNOWLEDGE, SKILLS AND ABILITIES
Bilingual Spanish-English - fluently read/speak (Highly preferred) Strong Computer skills, work experience with Electronic Health Record preferred A thorough understanding of ophthalmic practice and patient care Knowledge of medical instrumentation, proper care, and usage is needed Ability to assess common safety hazards and take precautions to establish a safe work environment required Expert organizational skills Ability to maintain a professional attitude with patients, staff, students, and faculty Two years of college or equivalent experience or skills Ability to meet deadlines regardless of circumstances or pressures Effective communication skills Attendance must be in accordance with College policy Maturity in judgment and demeanor Requires the ability to handle numerous tasks with speed and efficiency JCAHPO Certified Ophthalmic Assistant is a plus JCAHPO Certified Ophthalmic Technician is a plusSimilar remote jobs
