Cycle Fill Technician (Dispensing & Billing Technician)

Role Objective:

Execute prescription processing, insurance billing, refill coordination, and medication cycle management to ensure accurate, timely dispensing and consistent synchronization of patient therapies.

Role Overview:

Cycle Fill Technicians are responsible for the day-to-day execution of prescription processing and billing workflows across Centennial Pharmacy Services. This includes entering and adjudicating prescriptions, coordinating refills with prescribers, generating MARs, managing medication cycles, and ensuring all patient prescriptions are accurately prepared for dispensing. This role functions as the core operational engine of the pharmacy, supporting both production throughput and reimbursement capture while ensuring patients remain synchronized on their medication regimens. Core Functional Responsibilities:

1. Prescription Entry & Insurance Adjudication Processes and bills prescriptions accurately through pharmacy management systems.

Medication Cycle Management & Synchronization:

Maintains patient medication cycles to ensure consistent monthly packaging and delivery. Manages patient synchronization schedules Aligns medication fill dates and quantities to cycle Processes future fills and future adjudications Coordinates with clinical and operations teams to ensure cycle accuracy 3.

MAR Generation & Documentation:

Prepares and maintains accurate Medication Administration records (MARs) for each patient. Generates MARs based on current medication profiles Ensures all therapy changes are accurately reflected Updates MARs for start dates, discontinuations, and dosage changes Prepares MARs for pharmacist PVI review and billing processes 4.

Refill Coordination & Provider Communication:

Coordinates prescription refills with prescribers and healthcare providers. Requests refills from physicians' offices Follows up on refill requests and therapy clarifications Communicates therapy changes or missing prescriptions to providers Ensures all medications are authorized and ready for cycle fulfillment 5.

Insurance & Billing Issue Resolution:

Works with billing and pharmacy teams to resolve reimbursement issues. Investigates rejected claims and coverage issues Coordinates prior authorizations or alternative therapy requests Communicates with insurance companies when necessary Escalates complex billing issues to pharmacists or billing specialists 6.

Workflow Coordination & Cross-Team Collaboration:

Coordinates with pharmacy, clinical, and operations teams to ensure complete and accurate patient orders: Communicates with: Pharmacists Clinical onboarding team Operations and packaging teams Ensures prescriptions are ready for: Packaging Final verification Delivery 7.

Patient & Caregiver Communication Support:
