Purchasing Supervisor•RWJBarnabas Health At RWJBarnabas Health, the Purchasing Supervisor plays a critical role in pharmacy operations and supply chain excellence. Operating with a high level of leadership and technical precision, they ensure that pharmaceuticals, supplies, and materials are procured in an efficient, cost-effective, and compliant manner. They are responsible for managing multi-site inventory, supervising procurement staff, overseeing regulatory compliance, and maintaining strong vendor relations. A typical day for Purchasing Supervisor may include:
Manages Procurement & Inventory:
Coordinates the procurement of pharmaceuticals, supplies, and materials for the Main Pharmacy, NICU Satellite Pharmacy, Cancer Center Pharmacy, and Cooperman Barnabas Outpatient Facilities.
Supervises & Trains Staff:
Oversees Clerical Coordinators (pharmacy purchasers) at CBMC and the Melchiorre Cancer Center, providing training, professional oversight, and onboarding for new purchasing coordinators and repacking technicians.
Ensures Contract & GPO Compliance:
Audits purchases made by Coordinators to ensure strict alignment with GPO and corporate guidance, while managing corporate-contracted vendors through quarterly meetings.
Optimizes Inventory Levels:
Coordinates annual inventory to maintain target turns between 16 and 19, completes product counts, requests purchase orders, places/receives orders, and adjusts par levels to ensure seamless product availability.
Reconciles Financial Paperwork:
Verifies the receipt of all orders, resolves discrepancies promptly, and matches purchase orders with invoices in a timely manner using PeopleSoft.
Maintains Compliance & Records:
Ensures all TraceLink compliance for the Drug Supply Chain Security Act (DSCSA) is current, handles product recalls throughout the Medical Center, and coordinates with contracted reverse distributors for expired medications.
Generates Data & Analytics:
Maintains procurement history and inventory records to prepare monthly and ad hoc reports via Excel, addressing budget variances, stock fluctuations, and preparing the monthly backorder list for the staff Portal.
Supports Clinical & Administrative Programs:
Manages copay assistance programs for specific medications, as well as replacement processes for defective, reconstituted, or unused medications.
Drives Senior Strategy & Crisis Resolution:
Participates in weekly senior staff meetings to share data, quality initiatives, and drug shortages, while utilizing all available resources to source emergency medications.
Maintains Technical Standards:
Performs the standard duties of a Pharmacy Technician as required, keeping work areas clean, replacing returns, and participating in regulatory surveys. Licensure:
Must hold and maintain an active Pharmacy Technician license from the New Jersey Board of Pharmacy (NJBOP).
Certification:
PTCB pharmacy certification is required.
Experience:
A minimum of 2 years of hospital pharmacy experience is required. Purchasing experience is highly preferred.
Education:
An Associate's degree or higher is preferred.
Technical Skills:
Proficiency in current pharmacy purchasing software, PeopleSoft, and Excel for data extraction and reporting is required.
Core Knowledge:
Must maintain comprehensive knowledge of pharmacy practice, including inventory management, calculations, generic-to-trade name relationships, special properties of IV admixtures, chemical formulas, and common medical abbreviations/symbols.
