We have an immediate opportunity for an elite bilingual Wellness Coordinator who is a Scheduling Genius and can provide top notch support to our patients, doctors, team, and community.

THE HOURS ARE
Monday:

8:30 AM to 1:00 PM and 2:00 PM to 6:30

PM Tuesday:

8:30 AM to 12:15 PM and 2:00pm to 6:30 pm

Wednesday:

8:30 AM to 12:15 PM and 2:00 PM to 6:30 pm

Thursday:

9 AM - 12:00

PM Friday:

8:30 AM to 12:00 PM and 2:00 PM to 6:30 PM Expected hours average approximately 34-37 per week. You must understand the value of people's time and be able to confidently manage both theirs and ours. You must be professionally fluent in Spanish and English. Many of our patients prefer to communicate in Spanish, so your fluency will be evaluated during the interview process. This opportunity is ideal for an enthusiastic, highly organized self starter who is passionate about health, enjoys working with people, and takes personal ownership of results. This is not a quiet receptionist position. You will oversee an incredibly busy and constantly changing schedule, answer and screen calls, guide new patients, collect payments, reactivate patients, maintain accurate records, and help create an exceptional patient experience. The right person does not stand around waiting to be told what to do. You notice what needs attention, prioritize quickly, and complete it without constant reminders.

RESPONSIBILITIES

Answer phones with enthusiasm and confidently schedule appointments. Greet patients warmly and guide new patients through each step of their visit. Maintain a full, accurate, and productive appointment schedule. Confirm appointments and fill openings created by cancellations. Follow up with patients who have missed visits or fallen out of their recommended schedule. Process payments and professionally pursue outstanding balances. Maintain accurate databases, patient records, payment records, and end of day statistics. Coordinate patient flow and communicate clear next steps. Open and close the office according to established procedures. Manage inventory and complete routine audits. Collaborate with the team to ensure smooth office flow. Support Wednesday evening classes and community events. Occasionally assist with simple social media and Facebook content. Continually measure and improve personal performance.

QUALIFICATIONS

Professional fluency in Spanish and English is required. At least two years of experience in customer service, sales, scheduling, administration, hospitality, collections, or another patient facing role. General office and computer experience is required. Strong phone presence and confidence handling a high volume of calls. Poised under pressure and able to manage multiple priorities efficiently. Comfortable discussing money, requesting payment, and following up on balances. Warm, personable, and able to communicate with different personalities. Punctual, reliable, confident, and attentive to detail. Strong judgment when handling confidential patient and financial information. Proficiency with Microsoft Word and Excel. Desire to build a long term career with a growing practice. Previous chiropractic or medical office experience is helpful, but it is not required. We are willing to train the right person. We can teach our systems and procedures. We cannot teach urgency, warmth, ownership, reliability, or work ethic.

HOW SUCCESS WILL BE MEASURED

Success includes schedule accuracy, completed follow up, collected payments, accurate daily statistics, smooth patient flow, punctuality, responsiveness, and an exceptional patient experience.

COMPENSATION AND BENEFITS
Pay:
