Job Description
We are looking for a warm, organized, and dependable Front Desk Administrative Assistant to be the first voice and face our patients connect with. This is a part-time role covering evening hours on Mondays, Tuesdays, and Thursdays from 5:00 to 7:00 PM, plus a full day on Wednesdays from 9:00 AM to 6:00 PM. South Jersey Physical Therapy and Functional Wellness isn't a typical physical therapy clinic. We combine Eastern medicine, functional medicine, and regenerative technology to help patients get to the root cause of their pain instead of just chasing symptoms. Our team lives by the belief that people deserve more life in their years, not just more years in their life, and we're looking for someone who genuinely wants to be part of that mission, not just answer phones. You'll be an essential part of the patient experience from the very first phone call or text. This role is perfect for someone who loves people, thrives in a fast-paced front office, and takes pride in making every patient feel heard, valued, and taken care of.
What You'll Do:
Answer and return phone calls, texts, and emails promptly and professionally Manage scheduling and rescheduling of patient appointments Handle intake calls and guide new patients through the booking process Follow up with and nurture leads so no prospective patient falls through the cracks Greet patients warmly as they arrive and help create a welcoming office environment Communicate our clinic's unique, holistic approach so prospective patients understand why we're different and why we're the right fit for them Maintain accurate patient records and support general office organizationWhat We're Looking For:
A friendly, clear communicator who is comfortable on the phone and in writing Strong organizational and multitasking skills, with the ability to stay on top of scheduling and follow-ups Reliable and punctual, with a professional and patient demeanor Comfortable with basic computer skills, including the Google suite Prior experience in a front desk, customer service, or office coordinator role is a plus A background or interest in health, wellness, or medical terminology is a plus, but not required, we'll help you learn our approach A genuine enthusiasm for learning about holistic health and helping people feel confident in their careWhy Join Us:
You'll be joining a small, locally owned, close-knit, mission-driven team that treats patients like people, not just appointments. We'll teach you everything you need to know about our approach so you can speak to it with confidence, and we value team members who want to grow alongside the practice. If you're someone who takes pride in being the calm, capable voice on the other end of the phone, we'd love to meet you.
