Position Summary Under the direction of the Director of Physician Recruitment and Integration, the Physician Recruitment Coordinator supports the recruitment, onboarding, and integration of Physicians and Advanced Health Practitioners (i.e., Nurse Practitioners, Physician Assistants, Certified Nurse Midwives). In a professional and friendly manner, the coordinator provides quality service, assistance, and support to the Physician Recruitment team, hiring managers, candidates, and new hires through all stages of the recruitment/onboarding and integration process. Essential Functions and Responsibilities of the Job Responsible for administering and expediting all pre-employment and onboarding processes, which may include background checks, ATS data administration, offer letter processing, etc. Arrange pre-screening calls and in-person interviews and logistics between candidates and recruiters, managers, and interview teams. Includes managing appointment calendars and scheduling for the Physician Recruitment department. Assist with placement of job postings, refreshing and updating as needed. Includes requesting purchase orders and payments for vendors. Participation and coordination of recruiting events. Assisting the recruiter with tracking candidates throughout the life cycle of the hiring process using system tools. Generation and maintenance of reports used for new hire tracking. Work with the Recruiting team to provide a positive candidate experience from offer acceptance to first day of hire. Exceptional interpersonal skills are required to interact with a varied group of diverse, senior-level external callers, stakeholders, and visitors, as well as internal contacts at all levels of the organization. Coordinate and organize the flow of highly sensitive and confidential materials and information. This includes employee and non-employee file setup and maintenance (both physical and electronic records). Establishes and maintains digital and paper filing systems to track and archive communications; can include document and database management. Independently coordinate a wide range of meetings, interviews, and events. This includes planning, material preparation, determining catering needs, facility needs, and scheduling of all participants. May include making travel arrangements. Process recruitment expenses, ensuring compliance with travel guidelines. Perform other duties and work tasks necessary and required for successful and efficient achievement of the organization's mission and strategic objectives. Supports other HR/Recruiting projects, as required. Proficient in MemorialCare applications as needed: Applicant tracking systems (e.g., Taleo, iCIMS), PeopleSoft HCM, Accounts Payable, On-Base, etc. •Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications. In addition to base pay, there may be additional compensation available for this role, including but not limited to, shift differentials, extra shift incentives, and bonus opportunities. Qualifications:
Minimum Requirements Qualifications/Work Experience:
Minimum 1+ years of Human Resources/Talent Acquisition/Recruiting experience in a para-professional support capacity. Proficiency in Microsoft Office, including Outlook, Excel, Word, and PowerPoint required. Experience with OneNote and SharePoint helpful. Excellent written and verbal communication skills. Strong organizational and time management skills with exceptional attention to detail. Able to effectively prioritize workload and projects. Proficiency with PeopleSoft HCM and Applicant Tracking Systems (e.g., iCIMS) required.
Education/Licensure/Certification:
An Associate's degree or Bachelor's Degree is preferred. High School graduate or equivalent required.
