The Physician Scheduling Coordinator plays a key role in ensuring our patients receive timely access to care and that our physicians' schedules run efficiently. This position is responsible for coordinating a high volume of patient appointments and procedures, managing provider schedules, answering incoming calls, and working closely with physicians and the clinical team. The ideal candidate is detail-oriented, professional, dependable, and comfortable working in a fast-paced medical office environment while providing exceptional service to patients and families. Key Responsibilities Answer a high volume of incoming calls promptly, professionally, and compassionately. Schedule a wide variety of appointments, including: Physicals and well visits Sick visits Hospital and emergency room follow-ups Medication follow-ups Testing and results follow-ups Vaccinations Procedures New patient appointments Other appointments ordered by providers Coordinate and schedule a large volume of procedures and specialty appointments. Schedule procedures at hospitals and other facilities when requested. Coordinate new patient consultations, follow-up visits, and physician-ordered services. Work closely with physicians and medical assistants to coordinate patient appointments and ensure appropriate scheduling. Assist with managing physician scheduling templates and calendars. Prepare and maintain daily physician schedules, including rotating weekend coverage. Help streamline scheduling processes and improve patient access to appointments. Monitor physician availability and coordinate schedules to support efficient patient flow. Maintain accurate physician information, including schedules, insurance information, and provider updates. Coordinate physician meetings and maintain updated calendars. Respond promptly to referring providers and assist with obtaining necessary patient records. Provide patients with accurate instructions regarding appointments, testing, procedures, locations, check-in requirements, and preparation. Gather and verify patient demographic, registration, and billing information. Complete patient pre-registration accurately and efficiently. Inform patients of insurance authorization and referral requirements and assist in ensuring necessary information is obtained in a timely manner. Explain applicable payment, deposit, co-pay, and collection policies and direct patients to financial counseling when appropriate. Assist with reservations and registration for community and hospital events and classes. Support and train new employees by helping them understand department policies, procedures, and customer service expectations. Attend staff meetings and participate in ongoing process improvement. Perform other duties as assigned by the supervisor. What We're Looking For Excellent communication and interpersonal skills. Strong organizational skills and attention to detail. Ability to maintain confidentiality and handle sensitive patient information appropriately. Dependable and team-oriented with a strong commitment to customer service. Education High school diploma or equivalent required. Medical Assistant, Medical Secretary, Unit Coordinator, or related healthcare training preferred. Trade or vocational certificate preferred. Experience Previous medical office or administrative experience preferred. Prior physician or medical scheduling experience strongly preferred. Pay:
$18.00 - $19.00 per hour Expected hours: 35.0 - 40.0 per week
