Pathology Support Specialist Job Description The Pathology Support Specialist reviews and proofreads clinical pathology reports to ensure accuracy, clarity, and compliance with medical terminology and formatting standards. This role supports pathologists and clinical teams by maintaining high-quality documentation, protecting patient privacy, and providing responsive customer service to medical provider offices. The position combines medical transcription review, administrative support, and client communication in a fast-paced, regulated healthcare environment. Responsibilities Review and proofread clinical pathology reports to ensure accuracy, proper grammar, punctuation, and adherence to medical terminology and formatting standards. Verify that report content is complete, consistent, and aligned with established documentation guidelines. Maintain strict confidentiality of patient information and comply with all HIPAA and privacy regulations. Collaborate with pathologists to clarify unclear dictation, resolve discrepancies, and ensure accurate report content. Participate in quality assurance activities to improve documentation accuracy, consistency, and turnaround time. Perform general client support and administrative tasks, including filing, patient record management, and report distribution. Respond to inbound calls from medical provider offices seeking clarification or assistance related to pathology reports. Provide professional and courteous customer service to internal clinical teams and external provider offices. Manage multiple tasks and priorities while maintaining a high level of accuracy and attention to detail in a fast-paced environment. Work both independently and collaboratively with clinical and administrative team members to support overall laboratory operations. Essential Skills Minimum of 1 year of medical transcription experience. High school diploma or equivalent required. Demonstrated experience in medical transcription or healthcare documentation, preferably in a pathology or diagnostic setting. Working knowledge of medical terminology, with familiarity in pathology terminology considered a strong asset. Strong attention to detail and the ability to identify errors or inconsistencies in clinical documentation. Excellent listening and comprehension skills to accurately interpret dictation and provider inquiries. Ability to type at least 40 words per minute. Proven customer service skills, particularly in a medical, clinical laboratory, or healthcare setting. Ability to work independently while collaborating effectively with clinical and administrative team members. Comfort managing multiple tasks and deadlines in a fast-paced, regulated healthcare environment. Additional Skills & Qualifications Prior experience in a pathology or diagnostic laboratory environment is preferred. Experience supporting clinical laboratories, medical laboratories, or similar healthcare settings is beneficial. Strong verbal and written communication skills for interacting with pathologists, clinical staff, and medical provider offices. Ability to contribute to quality assurance initiatives and continuous improvement of documentation processes. Demonstrated reliability and commitment to job stability. Proficiency in organizing and maintaining patient records and documentation workflows. Work Environment This role operates within a small, close-knit pathology support team of fewer than 10 people, allowing for strong collaboration and direct communication with clinical and administrative colleagues. The schedule is Monday through Friday, 8:30 a.m. to 5:00 p.m., providing consistent daytime hours. The environment is a fast-paced, regulated healthcare setting where accuracy, confidentiality, and professionalism are essential. Overtime may be available based on workflow, offering opportunities for additional hours when volume increases. The position reports into the pathology support function and works closely with pathologists and laboratory staff to support high-quality patient care.
