Job Description

The Clinical Psychology Center invites applications for an Administrative Associate II . This position plays a vital role in ensuring the smooth operation of the Clinical Psychology Center (CPC) within the University of Montana's Psychology Department. The CPC provides a number of services to the Missoula community, such as confidential assessments, consultation, intervention, and psychotherapy services. Services are provided by doctoral students supervised by our licensed faculty, as well as by recent doctoral graduates completing the CPC's postdoctoral fellowship program. We serve children, adolescents, adults, couples, families, and groups. Serve as the primary point of contact for clients, faculty, staff, graduate students, and community members by managing front desk operations, prioritizing communications, and providing information about clinic services. Coordinate client intake and requests for clinical services while maintaining accurate client databases and overseeing the clinic's electronic medical record (EMR) system. Partner with the Clinical Psychology Center Director on reports, special projects, and administrative initiatives that support clinic operations and strategic goals. Manage office operations, including records management, office equipment, supply ordering, inventory, parking assignments, and coordination of building and technology needs. Administer operational support for the postdoctoral fellowship program, including recruitment, application management, onboarding, logistical coordination, and preparation for APPIC accreditation application activities. Oversee clinic financial processes, including accounts receivable, payment processing, billing, and preparation of monthly statements for clinical services provided by doctoral students and postdoctoral fellows. Maintain clinic assessment materials, testing protocols, and online and physical resource libraries to ensure accessibility and compliance with program needs. Coordinate events, onboarding activities, continuing education programs, community outreach, admissions and recruitment efforts, and marketing initiatives, including website maintenance and development of promotional and referral materials. High School diploma and two (2) years of experience or an equivalent combination of education and experience. Demonstrated ability to manage accounts receivable, process payments, coordinate billing activities, and prepare monthly financial statements. Excellent written, verbal, and interpersonal communication skills. Ability to prioritize incoming calls, respond to inquiries professionally, and provide accurate information regarding services and resources. Strong organizational skills with experience maintaining records, files, and office equipment to support efficient daily operations. Experience managing inventory, including ordering supplies, monitoring stock levels, and maintaining adequate inventory. Proficiency in creating, maintaining, and managing databases to ensure accurate recordkeeping and data management. Experience designing brochures, advertising materials, and other professional documents to support outreach, communication, and promotional initiatives. Preferred Qualifications Previous experience in an administrative or office support role. Excellent organizational and time management skills, with the ability to manage multiple priorities and meet deadlines. Proficiency with Microsoft Office Suite and database management systems. Demonstrated ability to handle sensitive and confidential information with professionalism and discretion. Ability to multitask, prioritize responsibilities, and adapt to changing priorities in a fast-paced environment. Strong attention to detail and accuracy in performing administrative duties and supporting daily operations.

Part-time, 0.75 FTE (30 Hours a week), Monday through Friday, variable days, 12 months/year
Probationary Period:
Six (6) months minimum
