Full-Time California Healing Arts College, also known as CHAC College, is seeking a professional, highly organized, and customer-service-focused Front Desk Student Services Coordinator to join our Carson campus team. This position serves as one of the first points of contact for prospective students, current students, visitors, vendors, and staff. The ideal candidate must be welcoming, detail-oriented, dependable, and able to manage front desk responsibilities while supporting the Admissions Department with administrative tasks, student file audits, appointment scheduling, follow-up, and campus operations. The Front Desk Admissions Coordinator plays an important role in creating a positive first impression for the campus and helping ensure that student inquiries, admissions files, and office processes are handled accurately and professionally. Key Responsibilities Greet prospective students, current students, visitors, and vendors in a professional and welcoming manner. Answer incoming phone calls, direct calls appropriately, and provide accurate general information about the campus and admissions process. Support the Admissions Department by tracking students, confirming appointments, and assisting with student follow-up. Maintain accurate admissions files, coordinate orientation and first day of class activities. Maintain a professional, organized, and welcoming front desk and reception area. Assist prospective students with basic questions and ensure they are connected with the appropriate admissions and school representative. Accurately enter, update, and maintain student and lead information in school systems. Review and audit admissions files to ensure required documents are complete, accurate, and properly organized. Identify missing or incomplete documents and follow up to ensure timely completion. Assist with scanning, filing, copying, uploading, and organizing student records and administrative documents. Support campus leadership and administrative departments with clerical and operational tasks as needed. Maintain confidentiality of student records and sensitive information. Ensure strong attention to detail when handling forms, files, student records, and compliance-related documents. Provide excellent customer service to students, staff, and guests at all times. Help maintain a professional campus environment and escalate concerns to management when appropriate. Qualifications Bachelor's degree preferred. Minimum of 2 years of office administration, front desk, admissions, or related administrative experience required. Prior experience in a school, college, vocational school, healthcare training program, or admissions office is preferred. Excellent customer service and communication skills. Strong organizational skills and ability to manage multiple tasks at once. High attention to detail and accuracy. Proficient with computers, email, Microsoft Office, Google Workspace, and database systems. Ability to review and audit files for completeness and accuracy. Professional appearance, attitude, and communication style. Ability to work independently and as part of a team. Dependable, punctual, and able to follow through on assigned tasks.
