HVAC Intake Coordinator

Responsibilities Managing Incoming Opportunities:

Receiving and logging incoming requests for quotes, service calls, or new installations via phone, email, or CRM systems.

Customer Communication:

Acting as the primary liaison, providing updates on job status, answering questions, and confirming appointment times.

Documentation and Data Entry:

Maintaining accurate data in systems like ServiceTitan, Monday.com, or Excel, including updating client information and job notes.

Job Preparation:

Ensuring all necessary paperwork, permits, and equipment are ready and staged for installation crews. Requirements Proven dispatching experience within HVAC, plumbing, or a related service industry is preferred. Strong knowledge of ServiceTitan is a plus. Excellent communication skills and professional phone etiquette. Ability to manage multiple priorities in a fast-paced environment. Strong attention to detail and ability to make quick, organized decisions. Ability to communicate effectively with customers, technicians, managers, and internal departments. Strong problem-solving skills and ability to remain calm under pressure. Reliable, organized, and able to follow established processes.
