Position Summary The Admissions Intake Coordinator manages the on-site admissions process from referral through bed placement. You will coordinate with referring partners, complete admission paperwork and consents, verify benefit eligibility, and hand off cleanly to the clinical and nursing teams. This is an administrative and coordination role: clinical assessments and level-of-care determinations are completed by licensed and certified clinical staff, and you work alongside them to make sure every admission is documented accurately and moves quickly. Timing matters in this work. A bed that sits open because paperwork stalled is a person who did not get help that day. Key Responsibilities Referral & Admissions Coordination Serve as the on-site point of contact for referrals from county partners, hospitals, detox providers, courts, and community agencies Screen incoming referrals for basic program eligibility and route to clinical staff for level-of-care determination Maintain the daily bed board and census; track pending admissions, projected discharges, and available beds Coordinate admission timing with the Program Manager, clinical team, and nursing Arrange client transportation to the facility in coordination with program drivers Intake Processing & Documentation Complete the full admission packet with each incoming client: consents, client rights, program rules, financial and confidentiality forms Verify Medi-Cal, county contract, and private insurance eligibility; document coverage and obtain required authorizations Enter admission data accurately and promptly into the electronic health record Coordinate client property inventory and intake search procedures with program staff, per policy Ensure all required documentation is complete and filed within contract and licensing timeframes Support county monitoring, audit, and utilization review requests with accurate intake records Client Experience & Communication Orient new clients to the facility, daily schedule, and program expectations Communicate with families and referral sources within the limits of client consent, HIPAA, and 42 CFR Part 2 Maintain a calm, respectful, non-judgmental approach with clients who may be arriving in crisis Track and report admissions metrics (referrals received, admissions completed, denials, no-shows) to program leadership Qualifications Required High school diploma or GED Certified AOD Counselor One (1) year or more of admissions, intake, patient registration, case management support, or similar experience in behavioral health, substance use treatment, healthcare, or social services Working knowledge of confidentiality requirements (HIPAA; 42 CFR Part 2 preferred) Strong organizational skills and accuracy with detailed paperwork under time pressure Proficiency with Microsoft Office and electronic records systems Ability to pass a background check/Live Scan clearance and health screening, including TB clearance Valid California driver's license and acceptable driving record Preferred Experience with Medi-Cal, DMC-ODS, or county-contracted behavioral health programs Familiarity with ASAM criteria and residential levels of care (3.1, 3.2-WM, 3.5) Experience with SmartCare, KIPU, or comparable EHR platforms Bilingual English/Spanish Current CPR/First Aid certification, or willingness to obtain within 30 days of hire Registration or certification as an SUD counselor through a DHCS-recognized certifying body Physical & Work Environment Requirements Combination of desk-based work and movement throughout the facility Occasional lifting up to 25 lbs Extended computer and telephone use Work is performed on-site in an active residential treatment facility serving adults in recovery, including individuals in withdrawal management Compensation & Benefits $21.00 - $25.00 per hour, depending on experience Full-time, 40 hours per week, Monday through Friday Medical benefits through NCBHF Paid holidays Direct, visible impact on client access to treatment Equal Opportunity NCBHF is an equal opportunity employer.
