We're looking for an organized, patient-focused Medical Records Clerk to join our team at our Thousand Oaks, CA location and be a key part of the experience our patients have every day. The Role This is an on-site role at the intersection of medical records and patient care. You'll be the trusted keeper of our patient records, making sure every file, release, and update is accurate and HIPAA-compliant, while also partnering with our Billing team to support checkout, respond to patient questions, and help patients navigate insurance and payment matters with care. What You'll Do Own the full lifecycle of patient medical records, from intake and filing to scanning, physician-requested revisions, and HIPAA-compliant release Keep patient information accurate and up to date in the EMR system Be a friendly, professional face for patients at checkout, guiding them through the process with a focus on their overall experience Export daily superbills and proactively reach out to patients to collect outstanding balances and procedure-related fees Respond promptly to patient inquiries by email, phone, and EMR reminders Partner with clinical, financial services, and front desk teams to keep patient payments accurate and on time Provide backup support to the billing team as needed What We're Looking For High school diploma or equivalent, required At least 1 year of experience working with medical records in a clinical setting A clear, confident communicator who connects well with patients and teammates alike Meticulous attention to detail across records, data entry, and billing support A customer-service mindset that turns routine interactions into positive patient experiences Comfortable working independently as well as part of a team Tech-savvy across email, EMR systems, and Microsoft Office, with strong data entry skills Working knowledge of OSHA standards and HIPAA compliance, with a genuine commitment to patient confidentiality Experience in women's health or fertility is highly preferred Schedule This is a full-time, in-person position, Monday through Friday from 7:30 AM to 4:00 PM.
