Job Summary:
The Student Records department is responsible to provide effective coordination, processing and maintenance of many student processes and procedures. This unit processes transcripts, grades, transcript evaluations, prerequisite overrides, the College Opportunity Fund processing, No Show reporting, demographic changes to name and social security numbers, correcting duplicate student accounts, residency classification for tuition purposes, coordinates the graduation process and prints diplomas. This department is a source for FERPA guidelines and processing legal requests for student information. This department is responsible for data corrections and state reporting, along with reporting to the Western Undergraduate Exchange (WUE) and The National Student Clearinghouse. This unit is expected to provide excellent customer service to students and staff within the boundaries of federal, state, and institutional policies and procedure. The Associate Registrar is responsible for planning, organizing, and evaluating the daily operations of the Student Records department, ensuring compliance with college, state, CCCS, and federal laws, policies, and regulations. This position is responsible for administering the COF process and tuition classification for tuition purposes. This position runs daily reports to upload and process COF and contacts students to complete the COF process and resolves related issues. This position is responsible for applying tuition classification law when processing residency petitions and applications. This position is responsible for the supervision of four full-time staff members each performing duties critical to the Student Records office and Registrar functions. Required Knowledge, Skills & Abilities Ability to work from campus (primarily our Lakewood campus with occasional hours at the Arvada campus). Proficient in Microsoft Office with the ability to maintain databases and generate reports. Accuracy and attention to detail. Strong written and verbal communication skills. High degree of patience. Ability to professionally represent the college. Ability to relate to a diverse applicant/student population. Required Qualifications Bachelor's degree OR equivalent combination of education and/or relevant experience. Three years' relevant experience. Supervision or leadership experience. Preferred Qualifications Experience working in diverse communities and supporting the success of individuals from racial, ethnic, and gender backgrounds that are underrepresented. Five (5) years of demonstrated, outstanding, customer service experience. Physical & Cognitive Demands The following are some of the physical and cognitive demands commonly associated with this position. Occasionally moves, positions, and transports files and office materials weighing up to 10 lbs. This is largely a sedentary role. This position operates in an office environment and constantly uses a computer, and routinely uses standard office equipment including phones, copiers, etc. The person in this position constantly communicates with internal and external constituents and students. Must be able to exchange accurate information in these situations. Cognitive demands include comparing, copying, computing, compiling, analyzing, coordinating, synthesizing, negotiating, communicating, instructing, and interpersonal skills. Starting Salary Starting salary range for this position is $66,733 - $73,105 annually, commensurate with education and experience. This is a full-time, FLSA-exempt position. Payment for additional assignments shall be in accordance with the College's or System Office's applicable pay schedule for similarly situated positions where the work is being performed. Work on additional assignments must be completed when the employee is not receiving regular pay for another position and are subject to all applicable workload limits.
