Completion of High School or equivalent. Ability to type. Knowledge of medical terminology. Computer knowledge. Minimum 2 years experience in a medical office. Ability to handle multiple phone lines and job tasks at once. Knowledge of medical insurance and referrals. Ability to work in a high stress atmosphere. Ability to work in a high stress atmosphere. Ability to work well with the public. Experience in telephone communications. This includes courteous conversation with all patients. Assist with incoming calls as needed, answering the phone by the third ring. Ability to enter messages correctly in a log and distribute to the proper person.
General Duties:
Schedules appointments appropriately for the physicians Assists in answering incoming calls and the 8x8 chat Collects all co-payments, Self-pay's ($300 new patients and $150 follow up) and patient balances Close and balance daily journal Answer questions on 8x8 Responsible for timely check in and check out of patients Responds to any emails or tasks received daily Confirms patients' demographics are correct in the system Scan any relevant patient information into the system Calls the no-shows (assist/backup) Work on the recalls •daily Confirm appointments 2 days prior and the day before the patient's appointment •daily Review provider schedules to ensure all open slots are filled Review provider schedules and make sure ALL appointments are scheduled correctly Makes follow up appointments for ALL patients even if it's for a 1 year follow up Assist the front desk with check in of patients Complete daily cosmetic posting Reply and view messages in Next patient Complete medical record requests Appointment Scheduling (Backup): Makes, reschedules and cancels appointments Confirms appointments for Dr. Kerdel, Dr. Don, and Nevada reschedules any appointments when physicians are out of town or when necessary
Reception of Patients:
Greets all patients pleasantly by name, if possible Scans patient's insurance cards and photo id and inputs data in computer (back up) Directs patients to any handouts or communication that are appropriate Asks patients to sign in Updates patient information in computer Notify clinical staff the patient has arrived Make sure ALL patients are verified at the time of their office visit with notes in the system Make sure all patients who need an authorization have the authorization/referral Collect all copays or balances Collect deductible and co-insurances
New Patients:
Advise patients to fill out demographic forms on ipad; Offer to assist if necessary Makes sure patient's I.D. and insurance cards are properly scanned in system Makes sure patients demographics are correctly input in computer Obtain all necessary signatures Make sure the patient has a profile picture before they check out Medical Record Keeping (Backup): Mail or fax any medical records requested with proper identification. Scan items into
EMR Existing Patients :
Update patient demographics when necessary Notify clinical staff that the patient is here Confirm patients address, phone number and insurance information upon arrival
Collections:
Responsible for collecting any past due balances and applying them in the system Responsible for obtaining the correct financial information on each patient Self-pay patients pay $300 (new) $150 (follow up) before being seen Collect any UVB or Laser deductible or co-insurance charges
Work Area Maintenance:
Keeps a clean and organized work area Organizes magazines and keeps waiting room clean and orderly
Job Relationships:
Reports directly to the Office Manager Employment is subject to a 90- day probation Must abide by Office Policy Manual
