This role is responsible for ensuring a seamless admissions process for all incoming clients while bridging communication between the Admissions and Outreach teams to operate as one cohesive unit. The Admissions Coordinator serves as a primary point of contact for prospective clients and referral sources, ensuring all inquiries are handled promptly, professionally, and in alignment with company standards. Our mission is to help individuals live healthy, fulfilling lives free from substance use and mental health challenges. Schedule This position is offered in one of two arrangements:
Full-time:
Wednesday through Sunday, 8-hour or 10-hour shifts based on operational needs, with occasional evenings as needed
Part-time:
Saturday and Sunday, 9:00 AM to 9:00 PM Core Responsibilities Respond to all incoming calls, emails, and digital inquiries from potential clients and referral partners in a timely manner Conduct phone assessments to determine eligibility and appropriateness for admission Verify insurance benefits, including out-of-network coverage, and confirm financial eligibility Accurately enter, update, and audit client data within EMR/CRM systems Initiate and coordinate medical records requests for incoming clients Collaborate with Outreach to ensure alignment on leads and admissions flow Coordinate scheduling, transportation, and all intake logistics Facilitate referrals to partnered facilities and ensure smooth transitions of care Audit calls, documentation, and workflows to ensure adherence to SOPs Support development and implementation of alumni follow-up processes Maintain availability for on-call or after-hours support as needed (full-time role) Qualifications High School Diploma required Minimum 1 year of admissions experience required Minimum 2 years of experience in mental health, substance use disorder, behavioral health, or addiction treatment preferred Strong experience with KIPU EMR, Salesforce CRM, and insurance verification (including out-of-network benefits) preferred Strong organizational skills with the ability to manage competing priorities Excellent communication and interpersonal skills Proficiency in Google Workspace or Microsoft Office Benefits (Full-Time Employees) Health and vision insurance (100% employer-paid for employee) Dental and family coverage options available Paid time off program Tuition reimbursement Opportunities for growth and advancement Collaborative, fast-paced environment with internal promotion opportunities Equal Employment Opportunity Statement Epiphany Wellness is an Equal Opportunity Employer and is committed to fostering an inclusive workplace.
