Patient Access Lead Confidential Miami, FL Job Details Full-time $760 - $840 a week 1 hour ago Qualifications Spanish Phone answering Teamwork English Administrative experience Attention to detail Full Job Description Miami, FL 33155 | Full-Time | 40 hours per week | $760-$840 per week About the Role Our Medical Center is looking for a professional, bilingual, organized, and proactive Patient Access Lead to help strengthen the patient experience and daily operations of our growing practice. This is more than a traditional patient-facing administrative position. You will play a hands-on role in the patient experience while also helping ensure that scheduling, patient follow-up, communication, daily workflows, and team responsibilities are handled consistently and professionally. We are looking for someone who naturally notices when something is not working, takes ownership, follows through, and brings practical ideas to improve how the clinic operates. You will work closely with our General Manager and serve as a reliable day-to-day support for the patient access operation, helping identify workflow gaps, recurring issues, and opportunities for improvement. What You'll Do Patient Access & Patient Experience Welcome and communicate with patients with warmth, confidence, and professionalism. Serve as a primary point of contact for patients throughout their experience with the Medical Center. Answer patient calls, messages, and questions promptly and professionally. Help patients understand their appointments, next steps, available services, and membership opportunities. Build trust and strong professional relationships with patients. Identify opportunities to strengthen patient engagement, follow-up, and retention. Address patient concerns appropriately and escalate issues when needed. Ensure patients receive consistent, professional, and patient-centered communication. Scheduling & Patient Follow-Up Schedule, confirm, reschedule, and follow up on patient appointments. Proactively follow up with patients who have not scheduled or confirmed their next appointment. Identify barriers that may prevent patients from moving forward and communicate them to the appropriate team member. Help improve appointment completion and reduce missed appointments. Maintain accurate scheduling and patient information. Take ownership of outstanding patient follow-ups rather than waiting for someone else to address them. Daily Operations & Team Support Help keep the patient access operation organized, professional, and efficient. Coordinate communication between the patient-facing team and clinical staff. Work closely with the General Manager to support smooth daily operations. Follow established procedures and help ensure consistency in daily workflows. Keep track of outstanding tasks and follow through until completion. Help identify workflow gaps, recurring issues, and operational bottlenecks. Help ensure team members are following established processes and responsibilities. Support an organized, accountable, and collaborative work environment. Lead & Process Improvement Responsibilities Look beyond the immediate task and identify opportunities to improve how things are done. Identify problems before they become bigger operational issues. Bring practical ideas to improve workflow, efficiency, organization, and patient satisfaction. Help implement improved processes once they are established. Follow up to make sure operational changes are actually being carried out. Work closely with the General Manager to improve and professionalize patient access processes. Help the team stay organized, accountable, and consistent in following established workflows. Take initiative and help move priorities forward without requiring constant direction. What We're Looking For Fluent in English and Spanish — required. Previous experience in patient access, medical office operations, healthcare administration, practice operations, or a similar patient-facing healthcare role. Experience taking ownership of responsibilities beyond basic administrative tasks. Strong professional presence and the ability to represent the Medical Center with confidence, warmth, and professionalism. Excellent communication and interpersonal skills. Strong ability to build rapport, trust, and long-term relationships with patients. Highly organized, punctual, reliable, and detail-oriented. Strong follow-through and ability to manage multiple priorities. Comfortable communicating with patients by phone and in person. Comfortable with patient follow-up, scheduling, and appointment coordination. Experience with EMR/EHR and scheduling systems. Comfortable working in a fast-paced clinical environment. Proactive and solution-oriented. Able to identify problems, suggest practical improvements, and follow through. Comfortable working independently and taking ownership of responsibilities. Able to support and guide a team without needing constant direction. Bilingual Interview Requirement Because bilingual communication is an essential part of this position, the interview process will include portions conducted in both English and Spanish. Candidates should be comfortable communicating professionally with patients and team members in both languages. What Success Looks Like Success in this role is not simply answering the phone or checking patients in.
