Job Description

Caribou Medical Center is now hiring a Hospital Registration Clerk Position Summary The Registration Clerk serves as the first point of contact for patients and visitors, delivering a welcoming and professional experience. This role is responsible for accurately collecting and entering patient information, verifying insurance, and ensuring all required documentation is complete. The Registration Clerk plays a vital role in supporting efficient clinic operations while maintaining excellent patient relations and customer service. Key Responsibilities Patient Registration & Customer Service Greet patients and visitors in a courteous and professional manner. Collect, verify, and enter patient demographic and insurance information into the electronic health record (EHR). Ensure all required forms are completed accurately and signed. Schedule and confirm patient appointments, including follow-ups, while coordinating provider availability. Manage incoming calls through a multi-line phone system; screen, route, and respond appropriately. Process schedule changes and communicate updates to patients and staff. Maintain a high level of customer service in a fast-paced, multitasking environment. Administrative Support Prepare and organize patient documentation for clinical staff prior to visits. Electronically file and maintain patient records, including lab results, referrals, and provider notes. Process prior authorizations for procedures, medications, and services. Handle confidential information in compliance with HIPAA regulations. Assist with data collection, reporting, and audits using Excel and other systems. Complete daily copying, faxing, and document management tasks. Financial & Billing Support Collect co-pays and outstanding balances at the time of service. Post payments accurately and provide receipts to patients. Balance daily transactions and assist with deposits. Identify patients eligible for financial assistance programs and provide appropriate documentation. Communicate payment arrangements and concerns to the billing department. Health Information Management Ensure compliance with HIPAA and patient privacy regulations. Process release of information requests accurately and in accordance with policy. Maintain secure and organized medical records (electronic and paper). Support incident reporting and documentation processes. Team & Operational Support Participate in staff meetings and departmental activities. Assist with general clinic operations, errands, and supply management as needed. Maintain a clean, safe, and organized workspace. Contribute to quality improvement initiatives and team collaboration.
Required:
High school diploma or GED Minimum of 6 months of office reception or administrative experience Minimum of 6 months of customer service experience Strong multitasking and organizational skills Experience with multi-line phone systems or switchboards Proficiency in Microsoft Office (Outlook, Word, Excel)
