Administration Position Summary The District Registrar oversees districtwide K-12 student enrollment, registration, transfers, withdrawals, residency verification, records, and related data processes. This position ensures accurate, secure, and current student information in compliance with district procedures and applicable state and federal requirements while providing responsive service to students, families, schools, and district personnel. Key Responsibilities Coordinate districtwide enrollment, registration, withdrawal, transfer, residency-verification, school-assignment, and grade-level-change processes. Review enrollment documentation for completeness and compliance, including age, residency, immunization, guardianship, custody, and other required records. Manage and audit transfer transcripts for compliance with Indiana Department of Education requirements; apply Parchment transcript procedures. Establish procedures for collecting, organizing, scanning, indexing, archiving, transferring, retaining, and securely disposing of student records. Respond to authorized records requests from parents, guardians, students, schools, agencies, and other parties; verify authorization before releasing information. Collaborate with registrars, counselors, administrators, special program and attendance staff, technology personnel, and district leadership to resolve enrollment and information issues. Train and provide technical and procedural support to school-based registration, records, and student-information staff. Perform other related duties involving registration, records of administration, data reporting, and district operations as assigned. Must possess written communication skills, including the ability to draft, edit, and proofread emails, as well as reading comprehension to respond to those emails. Performing other job-related duties as requested. Required Qualifications High school diploma or equivalent required; associate degree or higher field preferred. At least two years of progressively responsible experience in school registration, in a K-12 environment. Experience with student information systems, preferably Skyward, databases, spreadsheets, electronic document management, and standard office software. Ability to interpret and consistently apply district policies, procedural guidelines, and applicable legal or regulatory requirements. Preferred Qualifications Knowledge of state enrollment reporting, attendance accounting, records retention, special program documentation, and compliance audits. Bilingual or multilingual communication skills relevant to the district community. Familiarity with McKinney-Vento enrollment requirements, guardianship and custody documentation, student transfers, and residency verification.Deadline:
