12-16 hours / week. We are seeking a proactive and organized Office Assistant to join our dynamic team! As a key member of our administrative team, you will ensure smooth office functioning by managing clerical tasks, providing excellent customer service, and assisting with various administrative duties. Duties Greet visitors and manage front desk responsibilities with professionalism and warmth Handle multi-line phone systems, directing calls efficiently and courteously Perform data entry and maintain accurate records Manage filing systems, organize documents, and ensure proper document storage Support calendar management and schedule appointments or meetings for staff members Provide exceptional customer support by addressing inquiries promptly and courteously Conduct proofreading of documents to ensure accuracy and clarity Support office management tasks such as supply ordering and maintaining cleanliness of common areas Skills Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, and QuickBooks Excellent organizational skills with the ability to prioritize tasks effectively Bilingual abilities are highly desirable to assist diverse client needs Previous office experience or clerical experience preferred; familiarity with medical or dental receptionist duties is a plus Exceptional phone etiquette and customer service skills to create a welcoming environment Strong typing skills with attention to detail for data entry and proofreading tasks Ability to manage time efficiently in a busy setting while maintaining accuracy Knowledge of office management procedures including filing, calendar management, and office supply coordination Personal assistant or administrative support experience will be considered an asset Join us in this vibrant role where your organizational talents will shine!
