Job Description

Southdale Pediatrics is an independent group of Pediatricians and Allergists, caring for children since 1948. Our mission is to enhance and maintain the welfare of our patients by providing high-quality medical services, and delivering clinical excellence and outstanding customer service in a warm, welcoming environment. We are seeking a full-time Patient Services Representative for our Burnsville clinic location. The schedule will include primarily day shifts from 8am-5pm, occasional evening hours until 8pm, and a monthly Saturday morning rotation from 8am-12pm. Travel to a second site (Edina or Eden Prairie) is also expected. Our Patient Services team is responsible for ensuring a smooth and positive experience for patients and families as they navigate through their visit including: registration, appointment scheduling, reception, and medical records requests. The Patient Services department offers flexible scheduling and a fun, friendly work environment.
Patient Service Representative Responsibilities:
Assists patients and families in four key elements of patient experience: account registration and management, appointment scheduling, visit check-in, and medical records and forms requests. Greets patients and families over the phone and in-person in a polite, prompt, and helpful manner. Registers all new patients ensuring attention to detail and accurate data entry, and confirms insurance eligibility when able. Efficiently navigates our practice management and electronic medical records systems ensuring completion of the process at hand from registration, check-in, appointment scheduling etc… and patient's needs are met. Interacts with appropriate departments like lab, rooming, etc… to ensure the patient is moved expeditiously to the next member of the care team. Schedules and reschedules appointments following guidelines relating to physician's schedules to ensure accuracy. Verifies and updates patient demographic and insurance information when necessary to ensure accuracy and efficiency as they progress to the next step of their interaction with Southdale Peds.
During reception check-in process:
collects co-pays, scans insurance card, provides forms needing completion, and obtains signatures as necessary. Completes necessary paperwork such as encounter forms and uses practice management/EMR to generate necessary billing information.
Medical records responsibilities:
scan charts, test reports, and other correspondence into appropriate sections of patient's EMR keeping the chart in proper order. Copies patient records and forwards to appropriate parties ensuring proper approval and release is on file when needed. Completes forms as requested and forwards to appropriate parties for approval, sending to appropriate parties as requested when complete. Maintains and updates immunization records. Maintains strictest confidentiality and compliance with HIPAA and other department policies and regulations.
Patient Service Representative Qualifications:
High school diploma or GED. Proven customer service and communication skills Ability to remain calm and work efficiently in a busy, fast-paced clinic High level of computer acumen is required
