Job Description

We are seeking a detail-oriented Vessel Documentation & State Registration Specialist to manage the processing of boat and yacht ownership paperwork with the U.S. Coast Guard, state Departments of Revenue, state titling agencies, and related government offices. This person will be responsible for preparing, reviewing, submitting, and tracking vessel documentation, state registrations, titles, tax forms, lien releases, bills of sale, abstracts of title, and other required closing documents. The ideal candidate is highly organized, comfortable working with government forms, and able to communicate professionally with clients, buyers, sellers, lenders, brokers, marinas, and government agencies. Key Responsibilities Prepare and process U.S. Coast Guard vessel documentation filings, including initial documentation, transfers of ownership, renewals, deletion letters, name changes, hailing port changes, and satisfaction or recording of mortgages. Prepare and submit state Department of Revenue and state boating agency paperwork, including vessel titles, registrations, outboard motor registrations, trailer titles, tax forms, lienholder documents, and related ownership transfer forms. Review purchase agreements, bills of sale, closing statements, Coast Guard Abstracts of Title, lien releases, powers of attorney, and identification documents for accuracy and completeness. Coordinate with buyers, sellers, brokers, lenders, insurance agents, documentation companies, attorneys, and government offices to gather all required paperwork. Track each transaction from start to finish and provide regular updates to management and clients. Confirm tax, registration, titling, and documentation requirements based on the vessel type, state of registration, ownership structure, and whether the vessel is Coast Guard documented. Maintain organized digital and physical files for each vessel transaction. Assist with vessel closings, including preparation of closing checklists, payoff requests, lender documents, title packages, and delivery of completed ownership documents. Communicate with the U.S. Coast Guard National Vessel Documentation Center, state Departments of Revenue, county offices, and other agencies to resolve delays, rejected filings, or missing documentation. Ensure all forms are completed accurately, signed properly, notarized where required, and submitted within required deadlines. Help develop internal procedures, checklists, and templates to improve the company's vessel documentation and closing process. Required Qualifications Prior experience with vessel documentation, boat titling, vehicle titling, marine brokerage, dealership paperwork, title company work, DMV processing, lending documents, or legal/administrative document processing. Strong attention to detail and ability to manage paperwork with a high degree of accuracy. Ability to understand and complete government forms and follow agency-specific instructions. Excellent written and verbal communication skills. Strong organizational skills and ability to manage multiple transactions at the same time. Comfortable using email, PDFs, online portals, Microsoft Office, Google Workspace, document management systems, and basic CRM software. Ability to follow up consistently and keep transactions moving. Professional demeanor when communicating with clients, lenders, brokers, and government agencies. Preferred Qualifications Experience with U.S. Coast Guard vessel documentation. Experience working with state Department of Revenue, DMV, or boating registration offices. Knowledge of marine sales, boat brokerage, yacht closings, lender payoffs, liens, titles, and registrations. Notary commission or willingness to become a notary. Experience with Missouri, Florida, Iowa, Illinois, or other state vessel and trailer registration processes. Familiarity with Coast Guard Abstracts of Title, documented vessels, state-registered vessels, outboard motor titling, and marine lien documentation. $28.00 - $35.00 per hour
