This position combines front office operations with clinical support responsibilities to ensure the efficient daily operation of the office while providing exceptional customer service to patients, employees, visitors, and healthcare partners. The ideal candidate is professional, organized, detail-oriented, and able to successfully balance administrative duties with hands-on clinical responsibilities in a fast-paced healthcare environment. Essential Job ResponsibilitiesAdministrative Responsibilities Greet and assist patients, employees, applicants, and visitors in a professional and courteous manner. Answer and direct incoming phone calls, emails, and other communications. Perform data entry and maintain accurate electronic and paper records. Schedule appointments, interviews, meetings, employee orientations, and training sessions. Maintain office calendars and coordinate conference room scheduling. Prepare, proofread, and distribute correspondence, reports, forms, and other documents. Scan, upload, and file employee, patient, and company records. Order office and medical supplies while maintaining inventory. Process incoming and outgoing mail and deliveries. Assist management with special projects and administrative assignments. Maintain confidentiality of employee and patient information in accordance with HIPAA regulations. Provide exceptional customer service while maintaining a welcoming office environment. Clinical Responsibilities Prepare patients for examinations and clinical services. Obtain and document patient vital signs, medical history, and other required information. Assist healthcare providers during examinations and procedures as directed. Perform specimen collections, drug screenings, and other approved clinical procedures within CMA scope of practice. Prepare examination rooms before and after patient visits. Clean, disinfect, and maintain clinical equipment and patient care areas. Maintain adequate inventory of medical supplies and notify management of shortages. Accurately document patient information in the Electronic Medical Record (EMR). Ensure compliance with OSHA, HIPAA, infection control, and company policies. Maintain current knowledge of clinical best practices and healthcare regulations. General Responsibilities Promote professionalism and confidentiality at all times. Maintain positive working relationships with employees, patients, referral sources, and community partners. Cross-train to assist other departments as needed. Support compliance initiatives and quality improvement activities. Maintain a clean, organized, and professional office environment. Attend required meetings, trainings, and continuing education. Perform other duties as assigned by management. Minimum QualificationsEducation High School Diploma or GED required. Current Certified Medical Assistant (CMA) certification required. Experience Minimum of two (2) years of experience working as a Certified Medical Assistant (CMA) required. Minimum of two (2) years of administrative or medical office experience required. Experience working in a physician's office, clinic, home health agency, or other healthcare setting required. Experience using Electronic Medical Record (EMR/EHR) systems preferred. Experience with Google Workspace and Microsoft Office Suite required. Knowledge, Skills & Abilities Thorough knowledge of medical terminology and clinical procedures. Knowledge of HIPAA, OSHA, and infection control standards. Strong organizational and time management skills. Excellent verbal and written communication skills. Strong customer service and interpersonal skills. Ability to prioritize multiple tasks while meeting deadlines. Strong attention to detail and accuracy. Ability to maintain confidentiality and exercise sound judgment. Ability to work independently with minimal supervision. Ability to work collaboratively within a multidisciplinary healthcare team. Proficient in Google Workspace, Microsoft Office Suite, and EMR systems. Ability to learn new software and technology quickly. Physical Requirements Ability to sit, stand, bend, walk, and lift throughout the workday. Ability to lift up to 25 pounds occasionally. Frequent use of computers, telephones, printers, and office equipment. Ability to perform routine clinical procedures requiring manual dexterity. Ability to work in both office and clinical environments.
