We are looking for an experienced, dependable, and highly organized Office Coordinator to join our Leland clinic. This position is ideal for someone with experience in healthcare administration, medical reception, patient scheduling, referral coordination, or a medical front office who enjoys helping patients while keeping the day-to-day operations of a busy clinic running smoothly. What You'll Do The Office Coordinator plays an important role in creating a positive patient experience while ensuring our clinic operates efficiently.
Your primary responsibilities will include:
Referral & New Patient Coordination:
Receive and manage new patient referrals, obtain necessary information, and coordinate the start of care.
Patient Communication:
Communicate clearly, professionally, and compassionately with patients by phone, in person, and through other communication channels.
Scheduling:
Schedule evaluations and follow-up visits, manage cancellations and rescheduling, and help maintain an efficient therapist schedule.
Patient Check-In & Front Desk:
Welcome patients, assist with check-in procedures, and ensure patients receive the information they need.
Administrative Follow-Through:
Accurately document and communicate referral and patient information and follow up on outstanding items.
Clinic Coordination and Cleanliness:
Help keep the clinic organized, prepared, and ready for patients throughout the day.
Schedule Optimization:
Work proactively with the clinical team to identify scheduling opportunities and maximize access for patients.
Team Support:
Assist therapists and other team members with clinic needs as appropriate. What We're Looking For We are especially interested in candidates who have experience in a healthcare or medical office environment.
The ideal candidate will have:
Previous experience in medical reception, healthcare administration, patient coordination, scheduling, or a similar healthcare role Strong verbal and written communication skills A warm, professional, and compassionate approach with patients Excellent attention to detail and follow-through Strong organizational skills and the ability to manage multiple priorities Comfort working in a busy healthcare environment The ability to learn and confidently use scheduling, electronic medical record, and other software systems Reliability, professionalism, and a commitment to being part of a team The ability to maintain patient confidentiality and handle sensitive information professionally A genuine interest in helping people and providing an excellent patient experience Why Bodies in Balance?
