A Registrar or Patient Service Representative provides direct assistance to patients at a health care or long term care facility. Answers questions and helps resolve complaints; provides liaison with health care providers; may assist with coordinating appointments or addressing billing or insurance issues.
All About ABA is seeking an experienced Intake Coordinator to guide families through the intake process and ensure that required documentation and insurance information are complete and accurate. This position works closely with our Billing and Authorization teams. The ideal candidate has previous experience with medical or behavioral-health intake, insurance verification, document review, and patient financial responsibilities. This is a full-time, in-office position in Howell, New Jersey. Remote or hybrid work is not available.
RESPONSIBILITIES
Respond promptly and professionally to prospective client inquiries and referrals. Guide families through the intake process and explain required next steps. Review insurance cards, diagnostic reports, prescriptions, referrals, and other intake documents. Verify insurance eligibility, benefits, coverage, and patient financial responsibility. Identify missing or inconsistent information and follow up with families or referral sources. Explain basic copays, deductibles, coinsurance, and other financial responsibilities. Collect and document copayments or other patient payments if/when required. Coordinate with the Billing and Authorization teams to resolve insurance and documentation issues. Maintain accurate client information, intake updates, and follow-up notes. Consistently track pending cases and outstanding requirements. Maintain client confidentiality and follow HIPAA requirements.
REQUIRED QUALIFICATIONS
At least one year of experience in medical intake, patient access, insurance verification, medical billing, or a related healthcare administrative position. Direct experience verifying insurance eligibility and benefits. Experience reviewing medical or patient intake documentation. Understanding of copays, deductibles, coinsurance, and authorizations. Strong attention to detail and ability to identify missing or inaccurate information. Excellent written and verbal communication skills. Strong organization, time management, and follow-through. Ability to manage multiple cases and deadlines. Ability to work in the Howell office Monday through Friday from 9:00 AM to 5:00 PM.
PREFERRED QUALIFICATIONS
Experience in ABA, behavioral health, pediatric healthcare, or a therapy-based setting. Experience working with commercial insurance and Medicaid plans. Experience collecting, documenting, or posting patient payments. Experience using electronic medical records, practice-management systems, and insurance portals.
