Varying shifts of up to twelve (12) to fourteen (14) hours. Days, evenings, weekends and holidays required.
Job Summary:
The Patient Services Representative serves as the first point of contact for patients and visitors in the Urgent Care centers. This role is responsible for managing front office reception duties, ensuring smooth patient flow, and supporting both clinical and administrative operations in a fast-paced medical environment.
FLSA STATUS
This position is a non-exempt role under the Fair Labor Standards Act; thus, it is eligible to receive overtime compensation, as appropriate. Overtime requires prior approval from the supervisor.
ESSENTIAL DUTIES AND RESPONSIBILITIES
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Stand and greet patients and visitors in a professional, welcoming manner Manage patient intake, registration, and ensure all forms are accurately completed and filed in EMR Verify patient demographics and obtain valid photo identification Maintain patient flow by coordinating with medical staff upon patient arrival and escorting patients to rooms for triage. Answer and route incoming phone calls; take messages and respond to inquiries promptly Maintain a clean and organized reception area (including desk and waiting room) Schedule appointments and tests for patients Print daily schedules, prepare patient charts, and distribute materials as needed Scan documents and maintain accurate electronic medical records (EMR) Handle email, faxing, filing, and general clerical support Collect and post patient fees and copays Balance daily financial register Maintain procedure logs, visitor logs, and office supply inventory Communicate urgent patient needs to clinical staff promptly Explain paperwork, policies, and procedures to patients when needed Inform medical staff of urgent patient needs Other duties and responsibilities as assigned
QUALIFICATIONS CERTIFICATIONS
Basic Life Support (BLS) Certification
SKILLS, COMPETENCIES AND ABILITIES
  • Minimum 2 years of receptionist experience
  • Familiarity with HIPAA regulations and patient confidentiality standards
  • Excellent customer service skills (in-person, phone, and electronic communication)
  • Strong organizational and multitasking abilities
  • Attention to detail and accuracy in documentation and data entry
  • Proficiency in Microsoft Office and basic computer skills
  • Strong problem-solving skills and ability to work independently
  • Professional demeanor and positive, team-oriented attitude
  • Ability to work in a fast-paced, high-volume clinical environment
  • Reliable, punctual, and self-motivated
  • Maintain a professional appearance at all times
PHYSICAL REQUIREMENTS
  • Ability to multi-task and work efficiently under pressure and in a fast-paced environment
  • Ability to lift up to 50 lbs.
  • Ability to push or pull in order to safely perform essential job duties
  • Ability to bend and twist repetitively
  • Ability to sit or stand for extended periods
