About the role Woodhollow Energy Partners builds EV charging and energy infrastructure across the Northeast and beyond — development, engineering and construction, with licensed electrical operations in more than ten states and our own civil and electrical crews in the field. Every project we build starts as a pile of paper: a deed, a survey, a title report, a lease, utility bills, an owner who signs, and an entity name that has to match across all of it. When that paperwork is right, the job moves. When it isn't, we redesign, refile, and pay for the same work twice. This is a new role, and it exists to make sure that never happens. You will own project intake from first handshake to construction-ready, and you will be the person who says a job is clear to proceed. What you'll own The intake packet. For every new site, you gather and verify the complete document set: deed, current survey, title report, lease, twelve months of utility bills, W9, signed owner consent and authorization forms, and full property-owner contact information. The details that cost money when they're wrong. You confirm the legal entity name reads identically on the deed, the W9, the utility account and the grant or rebate application. You confirm the survey is current and actually covers the work area. You confirm the utility account number and rate class are captured before anyone files an application. The gate. No design, no utility service application, no permit filing until you have signed off that the packet is complete. You will have the authority to hold a job, and we expect you to use it. The record. You maintain intake records in our CRM and our project file structure — consistent naming, correct versions, nothing living only in someone's inbox. The chase. Much of this comes from owners, brokers, attorneys and property managers who are not in a hurry. You follow up until you have it, politely and relentlessly, and you keep the team honest about what's still outstanding. What we're looking for Two or more years handling real property or permitting documents — title company, real estate law firm, permit expediting, municipal filings, utility interconnection, solar or EV development, or construction project administration You can read a deed, a survey and a title report and tell us what's missing or inconsistent Genuinely detail-driven. You are the person who notices that the LLC on the W9 has an extra "Holdings" in it Organized enough to track sixty open items across a dozen projects without a reminder from anyone Comfortable on the phone and in email with owners and attorneys — professional, persistent, easy to deal with Strong with Excel, Google Workspace and CRM or project-tracking software Helpful, not required: experience with NYSERDA, NJDEP, Con Edison, PSE&G, JCP&L or National Grid program paperwork; notary commission; familiarity with AIA billing or construction document control. Also part of the role This is a working office, and this position keeps it running — supplies, coffee and food orders, shipping and receiving, and setting up for visitors. It's a small share of the week, but it's real, and it's part of why we're hiring. It frees our current admin to focus on service and licensing coordination.
