Our team provides services in a collaborative, family-centered environment where professionalism, teamwork, and exceptional client service are highly valued. We are currently seeking a highly organized, compassionate, and professional Bilingual Intake Coordinator to join our growing team. Position Summary The Bilingual Intake Coordinator serves as a critical first point of contact for children and families entering services at Soaring on Hope Pediatric Therapy. This role is responsible for managing the intake and referral process from initial inquiry through scheduling and onboarding. The ideal candidate is bilingual in English and Spanish, detail-oriented, customer-service focused, and experienced in handling multiple responsibilities in a fast-paced healthcare environment. This individual will work closely with physicians, referral sources, caregivers, clinical providers, and the billing department to ensure a smooth and welcoming intake experience for every family. This position requires excellent communication skills, professionalism, strong attention to detail, and the ability to support families with empathy and efficiency. Essential ResponsibilitiesIntake & Referral Coordination Receive, review, and process incoming referrals for pediatric therapy services Communicate with physicians, referral sources, caregivers, and potential clients regarding intake requirements and service availability Obtain missing documentation or clarification needed to complete intake processing Ensure all intake information is accurately entered into the Electronic Medical Record (EMR) system Family & Client Communication Answer incoming calls professionally and provide accurate information regarding clinic services, scheduling, and intake procedures Support families throughout the intake process with compassion, professionalism, and excellent customer service Serve as a positive and welcoming representative of the clinic Scheduling Coordination Schedule initial evaluations and appointments while coordinating provider availability Manage scheduling adjustments and communicate updates to families and clinical staff Maintain and manage clinic waitlists efficiently and accurately Insurance & Documentation Collaborate with the billing department to verify insurance benefits and determine financial responsibility Communicate insurance and payment information to caregivers professionally and clearly Maintain accurate client records, demographic information, and documentation in accordance with clinic policies Administrative Support Track referral and intake statistics accurately Manage incoming faxes and upload documentation into appropriate client files Maintain timely and organized documentation throughout the intake process Foster positive working relationships with referral sources and physicians Required Qualifications Bilingual in English and Spanish (written and verbal) High school diploma or equivalent Strong communication and interpersonal skills Exceptional organizational skills and attention to detail Ability to multitask and prioritize in a fast-paced clinical environment Professional, compassionate, and client-focused demeanor Proficiency with Microsoft Office and computer systems Preferred Previous experience in healthcare intake, medical scheduling, front office, or healthcare administration Experience working in a pediatric therapy, medical, behavioral health, or ABA setting Experience with EMR systems Knowledge of insurance verification and healthcare billing processes Associate degree or relevant healthcare/administrative certifications Ideal Candidate Traits We are looking for someone who: Enjoys working with children and families Remains calm and professional under pressure Communicates clearly and confidently Takes initiative and problem-solves independently Thrives in a team-oriented healthcare environment Understands the importance of accuracy, timeliness, and confidentiality Physical Requirements The physical demands described here are representative of those required to successfully perform the essential functions of this position.
