Job Summary/Position Objective:
Maintains provider calendars and scheduling templates for the primary care, specialty, and ancillary departments for all Clinic sites. Schedules surgeries for OB/GYN providers. Maintain patient service staff calendars, staffing reports and leave requests. Assists with interpreter requests and coverage for PBX operator.
Required Knowledge, Skills, Abilities:
Experience working in a medical office. Ability to communicate clearly, professionally, and courteously. Ability to read, understand, and follow oral and written instruction. Ability to work in a fast paced environment, while keeping close attention to accuracy. Ability to analyze complex problems, problem solve, and collaborate with others. Knowledge of grammar, spelling, and punctuation in order to forward patient information to the medical staff. Must be able to pass the required spelling and typing test. Must be detail-oriented. Able to organize and prioritize work, be able to multitask. Ability to work independently and as a team participant.
Preferred Qualifications:
Two years of work experience in a medical office setting. Previous experience with templates and overseeing schedules. Knowledge of medical terminology desirable. Previous experience with computers, word processing and excel.
Essential Functions:
Load basic templates in the scheduling system. Adjust for call, CME, vacations, and illness when necessary and reschedule patients accordingly. Maintain template change file and calendar. Maintain surgery block schedule. Take provider ill call and modify schedules as necessary. Work closely with providers, nursing, and patient service staff to oversee templates and scheduling protocols. Prepare daily sheets for all providers and staff. Maintain provider scheduling guides for schedulers. Take patient service staff ill call and modify coverage schedules. Maintain monthly staffing calendars. Answer telephones promptly and cordially, following the department scripting and protocol. Take messages and relay information to the nursing staff or physician, or make appointments as indicated by the circumstances and medical office policy. Schedule patient surgeries per protocol. Enter information per protocol into an electronic health record. Assist with coverage for PBX operator and interpreter scheduler.
Other Duties:
Perform other duties, including scheduling and message taking for patients or assist with special projects as requested. Serve as a mentor to new staff and students as assigned. Make policy or procedure recommendations to the PSS Supervisor. Our mission at Salem Clinic is to improve the health of those we serve in a spirit of compassion and respect.
