Job Description

GENERAL STATEMENT OF DUTIES
: The Intake Coordinator serves as the primary point of contact for families and providers seeking services through the Fetal Alcohol Spectrum Disorder (FASD) Hybrid Clinics (Panhandle and Orlando) at The Florida Center for Early Childhood. The Coordinator guides each family through a smooth, compassionate intake process from the first inquiry through scheduling and evaluation preparation, gathers key client information, keeps the internal intake team in close communication, and ensures accurate, timely data entry across the organization's systems. This is a hybrid position; the Intake Coordinator works from the Sarasota office at least one day per week, with additional in-office time as clinic needs, meetings, and training require.
EDUCATION/EXPERIENCE
¨ High school diploma or GED required; Bachelor's degree preferred but not required ¨ Minimum of two years of experience in a related field ¨ Experience in client intake, care coordination, or social services strongly preferred ¨ Bilingual (English/Spanish) preferred but not required ¨ Knowledge or experience related to FASD, developmental services, or family support programs is an asset ¨ Proficiency with electronic medical records systems; experience with Lauris or a similar platform is a plus
PRINCIPLE DUTIES
¨ Serve as the initial point of contact for new and prospective clients by responding to inquiries about the FASD Clinic and its available services ¨ Determine eligibility and process referrals for clinic services ¨ Communicate clinic services and processes clearly to caregivers and providers ¨ Oversee and manage the intake process, ensuring coordination and communication with the internal intake team and relevant clinic staff ¨ Maintain ongoing communication with families throughout the intake journey, including booking clinic dates, sending consent forms, confirming appointments, and providing status updates ¨ Enter all client and referral information accurately into Lauris, the organization's electronic medical records system ¨ Obtain all records needed for clinic evaluation while ensuring compliance with HIPAA regulations ¨ Collaborate with families and team members to coordinate and schedule clinic evaluations ¨ Ensure each step of the intake process is completed thoroughly and efficiently, with an emphasis on client experience, attention to detail, and follow-through ¨ Use and manage the multiple platforms required for daily intake operations, including Box, Microsoft Outlook, Excel, Word, and Lauris, maintaining accurate and timely documentation across each ¨ Organize, track, and transfer information accurately between multiple systems and electronic records ¨ Support other FASD Clinic locations with intake coordination and communication as needed
PERFORMANCE REQUIREMENTS/PERSONAL QUALITIES
¨ Understanding of and support for the mission of The Florida Center for Early Childhood and its programs ¨ Excellent oral and written communication skills ¨ Strong interpersonal skills; able to engage sensitively and professionally with diverse families ¨ Uses consistent, non-stigmatizing, person-first language when representing the program (in print, online, and in person) ¨ Highly organized, with the ability to manage multiple cases and timelines simultaneously ¨ Strong technological skills and the ability to learn, navigate, and manage multiple software platforms and electronic systems at once ¨ Computer proficiency in the Microsoft Office suite (Outlook, Excel, Word) and electronic file management systems such as Box ¨ Demonstrated ability to maintain accurate information across multiple systems while managing competing priorities and deadlines ¨ Ability to work independently while maintaining collaborative relationships with a multidisciplinary team ¨ Skilled in problem-solving, decision-making, and time management ¨ Ability to handle multiple projects with fast-approaching deadlines ¨ Ability to maintain client confidentiality according to established policies and applicable statutes ¨ Professional appearance and behavior, including punctuality ¨ Compliance with agency/state/legal mandates for reporting suspected abuse/maltreatment/neglect ¨ Valid Florida Driver's License and reliable transportation with appropriate insurance coverage ¨ Ability to adhere to drug-free workplace policy

TYPICAL PHYSICAL DEMANDS
Requires individual to perform a broad range of activities. Requires full range of motion, including manual and finger dexterity and hand and eye coordination. Requires corrected vision, speech, and hearing to normal range, or special accommodations made of sufficient nature for completion of assigned tasks. Ability to lift 30 pounds. Occasionally requires working under stressful conditions or working irregular hours. Requires seated work at desk, including use of a computer. Ability to drive. This is a hybrid position. Much of the work can be performed remotely; however, the Intake Coordinator is required to work from the Sarasota office at least one day per week, with additional in-office time based on clinic needs, meetings, and training. Occasional travel may be required.
