ABOUT THE ROLE
We are a small, out-of-network pediatric rheumatology practice, and we are hiring the person who will be the first voice and first face our families experience. You set the tone for the entire visit. You do not need medical experience. We are hiring for hospitality, not for a medical background. If you have been the person who runs a busy restaurant floor, a hotel front desk, a salon or spa, a high-end retail store, or a service team where people remembered your name, we want to talk to you. We will teach you the clinical and software pieces. The role covers phone calls, texts, emails, and patient portal messages, plus scheduling, payments, and working alongside our RN and MD. In a practice this size, one person owns the front. That person is you.
WHO WE ARE LOOKING FOR
We need someone who is genuinely excellent at all six of these, not three or four: Communication. Clear, warm, and professional with families, referring offices, and teammates. Written and verbal. Professionalism. Discreet, composed, and dependable. You are here for your scheduled shifts, on time, and fully present while you are here. Multitasking. Comfortable moving between a ringing phone, a message inbox, and a family checking in, without dropping any of them. Organization. Tracks tasks and follows through without being reminded. Detail orientation. Accurate with records, payments, and scheduling. Small errors have real consequences here. Technical ability. Learns new software quickly and troubleshoots without waiting for help. Satisfaction is not optional in this role. Whether you have measured it as patient satisfaction, guest reviews, mystery shopper scores, or repeat customers who asked for you by name, you must be able to point to a real track record and show it. A note on reliability. This is a single-person front desk. There is no one to absorb the work when this seat is empty or distracted, and families feel it the same day. KEY RESPONSIBILITIES
Patient communication Handle new and returning patient inquiries across three channels: patient portal, phone and text, and email. Interact with patients and families with empathy, professionalism, and attention to detail. Provide prompt, efficient, service-oriented care. Service and experience Serve as the primary point of contact for patients and families, delivering consistent, high-quality service. Address concerns and questions in a way that builds trust and understanding.

Understand what our families are struggling with and clearly explain how our services help, so they can make informed decisions. Introduce families to additional services and wellness programs that fit their needs. Meet or exceed growth goals by spotting opportunities to enhance a family's care.
ADMINISTRATIVE SUPPORT
Learn our technology quickly. Our EMR is Cerbo and we use Spruce for phone and fax. Both are trained on the job. Schedule and confirm appointments, gather patient records, and help families use the patient portal. Coordinate with outside offices for referrals and follow-up care. Handle patient payments and other front-office tasks.
CLINICAL SUPPORT, FULLY TRAINED BY US
Record vital signs, medications, and supplements accurately. No prior medical experience needed, we will train you and check your work. Prepare and maintain exam rooms so they are clean, stocked, and ready.
TEAM:
Work closely with our RN and MD to support high-quality care. Join team meetings to discuss patient needs and improve how we do things.
Keep the office running:
snacks, coffee station, and water bottles stocked.
BASIC QUALIFICATIONS
Two or more years in a high-touch customer service role. Restaurants, hotels, hospitality, retail, salon or spa, or a medical front office all count. Excellent oral and written communication skills in English. A demonstrated track record of high customer or patient satisfaction. Consistent, dependable attendance, with reliable transportation and availability for every scheduled shift. A growth mindset and the ability to thrive in a fast-moving environment.
PREFERRED QUALIFICATIONS
Experience leading or setting the standard for a service team. Sales, upsell, or membership experience in any industry. Comfort with Mac computers, scheduling software, Excel, Word, or similar tools. Front office or scheduling experience in a clinical setting. Interest in integrative medicine, with an understanding that conventional medications also have an important role.
