Position:
Admissions Coordinator Position Summary:
The Admissions Coordinator serves as a key liaison for prospective residents and families, ensuring a seamless, organized, and welcoming admission experience. This role is responsible for coordinating all aspects of the intake process while maintaining accuracy, compliance, and a high standard of customer service.
Core Functions & Competencies:
Acts as the primary contact for inquiries, providing exceptional customer service and facilitating smooth resident transitions Coordinates room readiness to support timely and efficient admissions Conducts both scheduled and walk-in tours with professionalism and a welcoming approach Ensures all admission documentation is completed accurately and in compliance with regulatory standards Maintains current and accurate resident records within the EMR system Communicates effectively with residents, families, and interdisciplinary teams with empathy and professionalism Demonstrates strong attention to detail, organization, and compliance awareness Maintains composure in a fast-paced environment while managing multiple priorities with urgency and efficiency Collaborates with clinical, administrative, and leadership teams to support census growth and admissions flow Takes ownership of outcomes related to admissions performance and resident satisfaction Completes additional duties as assigned
Key Responsibilities:
Admissions & Guest Relations Serve as the main point of contact for residents and families throughout the admission process Assist with completion of all admission requirements, including financial and medical documentation Provide support and guidance to families on the day of admission to ensure a smooth transition Uphold resident comfort, dignity, and privacy at all times Foster a welcoming and respectful environment for all guests and visitors Facility Readiness Ensure rooms are properly prepared prior to resident arrival Support overall facility preparedness for incoming admissions Administrative Support Perform clerical tasks such as filing, documentation, and record maintenance Maintain and update the admissions filing system Retrieve and manage records as needed Communication & Reporting Provide daily census updates to the interdisciplinary team Manage internal and external communications related to admissions Escalate resident or family concerns to appropriate leadership Report safety hazards, equipment issues, and supply needs promptly Safety & Compliance Adhere to infection control protocols and standard safety procedures Follow established guidelines when using equipment and performing duties Meetings & Development Participate in meetings and required in-service trainings Reporting Structure Reports directly to the Facility Administrator Maintains a dotted-line relationship with the
Regional Team Qualifications:
Minimum of one (1) year of admissions experience in a skilled nursing facility Prior experience in admissions or community outreach within a similar setting preferred Experience with PointClickCare (PCC) or similar EMR systems Proficient in Microsoft Office (Word and Excel) Strong organizational, multitasking, and clerical skills Excellent communication and interpersonal abilities Compassionate, service-oriented approach when working with residents and families #INDESLEAD
