SUMMARY/SCOPE
The part-time Administrative Assistant will be responsible for ensuring that the internal functions of the athletic training and speech-language pathology offices are operating smoothly and effectively. This employee is responsible for assisting in the daily and special functions of the office as it relates to the community and Hardin-Simmons University.

ESSENTIAL
DUTIES AND RESPONSIBILITIES
These examples do not include all possible tasks & do not limit the assignment of related tasks. Assists with maintaining computer databases for AT and SLP departments. Assists with correspondence and travel arrangements for the AT and SLP departments. Assist with departmental & campus activities including recruitment, clinic, and continuing education programs. Assists with assignments from AT and SLP faculty. Follows University & Departmental safety regulations and maintains confidentiality of records. Assists in communication with prospective students, current students & other university/program-related people, including other campus administrative assistants. Assists with collection, organization, and updating relevant data using various administrative software applications, including Adobe Creative Cloud & Microsoft Office suite (including Microsoft Teams) to assist program directors & faculty with letters, emails, spreadsheets, other documents, reports & forms. Assists with distribution of questionnaires and collection of program statistical & other data for items related to program accreditation. Assist with student course registration & collection of data for and maintenance of student records for student degree plans/academic files, academic advising, course rosters, etc.& coordinating student information with appropriate on
- and off-campus personnel/offices.
Assists the SLP and AT program directors in organizing information on adjuncts, overload, or online instructors required for each department. Ensure the dean's office has appropriate and correct information to generate contracts for all adjunct instructors, faculty overload, online instructors, and employee payment requests. Assist the SLP and AT program directors and faculty with course scheduling as well as scheduling individual, departmental and other University meetings, travel, community events and committee meetings. Understanding priority for these events according to urgency is essential. Assists with promotion and marketing for the athletic training and speech-language pathology departments. Provide professional and confidential assistance to the Athletic Training and Speech-Language Pathology program directors and faculty, including attending relevant departmental meetings to take minutes. Maintain a professional, efficient office environment, and ensure effective working relationships with all HSU faculty and staff and community partners. Assists the AT and SLP program directors with budgetary operations, including submitting requisitions, making deposits, ordering/purchasing supplies, verifying delivery, maintaining receipts, tracking monthly expenses and budget planning. Assist the administrative assistant to the dean of the College of Health Professions with needs regarding any credit card receipts and ensure expenses are appropriately charged to the correct departments if needed. Assist with intake and all requirements for scheduling of patients for the SLP clinic. Other duties may be assigned based on departmental needs.
SUPERVISORY RESPONSIBILITIES
There are no supervisory responsibilities for this position, except for assisting with oversight of student workers in the department.

LANGUAGE SKILLS

EDUCATION/EXPERIENCE
High School Diploma or GED required, bachelor's degree preferred. 3-5 years of related experience and/or training preferred. Must have the ability to perform multiple tasks in a fast-paced/multifaceted office environment. Must be able to organize files and maintain records. Must be detail oriented and follow through on projects/tasks until completion. Must interact with donors, students, visitors, staff, faculty and exhibit interpersonal skills including the ability to answer questions, assist with solving problems and work with supervisors to help resolve difficult situations. Must communicate professionally both orally and in written form. Must be able to prepare correspondence with or without guidance from supervisor, depending on the circumstances. Must have good proofreading skills and attention to detail. Must be comfortable and proficient using technology, such as email, instant message, etc. Must understand and maintain confidentiality of sensitive information, records, etc. The above requirements will be validated through the written competencies provided by the applicant in addition to the interview process and reference checks regarding past employment experience, etc.

This position is sedentary in nature. Must be able to sit for long periods of time while performing office and computer operations. ADDITIONAL INFORMATION
This is a Non-Exempt/Hourly, Part-Time/No Benefits Staff position. This is a split position which is scheduled for 29 hours per week (14.5 hours in Athletic Training and 14.5 hours in Speech-Language Pathology Departments). This position may require occasional evening/weekend work in order to meet internal and/or external deadlines. All hours worked beyond 40 hours in a single work week will be compensated at time and a half, per FLSA guidelines. Must have and maintain a valid Class C Driver's License and maintain a clear driving record to be insurable under the university liability policy. Must be able to drive to complete work assignments on and off campus, as needed. Additional travel may be required on occasion in order to attend training, events, etc.
