0730 - 1600) this opening is Temporary Role Overview We are looking for an experienced Executive Assistant to provide direct daily administrative, scheduling, and protocol support to Squadron leadership at Joint Base Pearl Harbor-Hickam. In this role, you will manage executive calendars, coordinate meetings across secure facilities, support official travel, and process military personnel actions.
What You Will Do Calendar & Meeting Management:
Proactively manage and deconflict the Commander's schedule based on operational priorities; build clear calendar invites with read-aheads and location details.
Meeting & Event Support:
Set up VTCs, run presentation slides, track action items/minutes, and coordinate official events (Commander's Calls, awards, and promotion ceremonies).
Multi-Network Support:
Securely handle and transfer administrative materials across classified and unclassified networks (NIPR, SIPR, JWICS).
Travel & Protocol:
Serve as the Defense Travel System (DTS) Approving Official (AO) for leadership travel, coordinate RSVPs, and work with security for visit requests.
Personnel & CSS Administration:
Process actions using standard Air Force systems (MilPDS, vMPF, ATAAPS, LeaveWeb, AFPAAS, SharePoint) and serve as a Drug Demand Reduction Trusted Agent.
Executive Communication:
Draft, format, and track official correspondence, taskers, and staff packages using clear Bottom Line Up Front (BLUF) standards.
Qualifications Clearance:
Active TS/SCI eligibility (willing to take a polygraph).
Experience:
5-7 years of executive administrative or Commander Support Staff (CSS) experience supporting Department of Defense (DoD) or U.S. Air Force units.
Education:
Bachelor's degree or equivalent combination of education and work experience.
Technical Skills:
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams), SharePoint, and standard DoD/AF personnel systems (DTS, Mil
