Senior Helpers of Central West Hartford is seeking a professional, responsible, reliable and compassionate Office Manager. This is a full-time exempt position, working closely with the owner as we expand in West Hartford and surrounding areas.
Reports To:
Owner Primary Responsibilities ( including, but not limited to): Assist with managing Caregivers - Hiring, scheduling, training, etc. Coordinate caregiver interviewing schedule Create new hire packets and employee handbooks Verify complete caregiver information in the file after hiring. Input caregiver information into home care software (Wellsky) Ensure caregiver reference checks and criminal background checks are completed Ensure all caregiver employment paperwork is completed properly and filed according to policy Schedule and coordinate caregiver staff based on assessment and care plan of client. Quickly and appropriately respond to situations where scheduling conflicts, emergencies and/or "call outs" arise. Maintain and update database of employees. Assist with Client communications. Create and send client welcome packets Input client leads into Contact Manager and mail the appropriate material to each prospect. Ensure all information is properly filed, organized and easily accessible. Maintain client folders Maintaining effective communications with clients, family members, caregivers and others involved in the care of the individual. Assist with Office Operations Assist with answering telephone calls, providing information to potential clients and solving problems for current clients. Manage the daily operations of the office, ensuring that a professional workplace is maintained. Ensure that client invoices are completed accurately, timely and according to company policy Answer and screen incoming phone calls in a pleasant, courteous manner Perform general office function as assigned Create client welcome packets, prospective client packets and new hire packets Proactively identify, communicate, and implement areas of potential improvement. Assisting with creative content, managing as well as posting on social media account Qualifications Minimum of one year in a Home Care/Health Care front office managerial setting Familiar with a variety of the home care concepts, practices, and procedures Ability to communicate pleasantly and effectively with callers and internal staff Team player, excellent verbal and communication skills, adaptable in different situations, possesses excellent client interaction skills Ability to interact well with a diverse group of individuals, strong organizational skills, and the ability to manage and prioritize multiple assignments.
