Overview We are a high-touch estate planning firm serving primarily retirees, business owners and families who value professionalism, clarity, and peace of mind. We are seeking a Client Intake Specialist to serve as the first point of contact for prospective clients—delivering a polished, concierge-level experience while ensuring that every qualified inquiry is properly guided into a scheduled consultation. We invest heavily in marketing to make the phone ring. Your responsibility is to ensure those opportunities are not lost. What You'll Do
  • Answer inbound calls and guide prospective clients to schedule consultations
  • Deliver a warm, professional, and reassuring first impression
  • Manage attorney and paralegal calendars with precision
  • Greet in-office clients with a polished, business-professional presence
  • Refresh room after each meeting
  • Prepare meeting files for attorneys and paralegals
  • Follow up consistently with prospective clients who have not yet scheduled
  • Coordinate internally using firm systems (Clio, Asana, etc.)
  • Handle front desk and administrative support (mail, scanning, payments) Performance Expectations
  • Target:
    8 consultations scheduled per week per attorney
  • Consistent follow-up on all unbooked leads
  • Zero dropped inquiries
  • Accurate and well-managed calendars Who This Role Is For
  • Naturally warm and professional with strong people skills
  • Highly organized and detail-oriented
  • Disciplined about follow-up and completing tasks
  • Comfortable guiding conversations on the phone
  • Reliable, responsive, and accountable Who This Role Is NOT For

  • Those uncomfortable taking ownership of outcomes Qualifications
  • 1-3+ years in a client-facing role (law firm experience preferred)
  • Strong communication skills (phone, email, in-person)
  • High level of organization and follow-through
  • Comfortable learning and using software systems
  • Professional appearance and in-office presence required
Compensation & Schedule Hourly:
$22
  • 25/hour (based on experience)
