Job Summary:
Responsible for oversight of daily front desk operations including patient flow, client experience, education, and point-of-sale transactions. This role plays a key part in ensuring a seamless, elevated experience for every client while supporting overall clinic efficiency. Experience
AND EDUCATION
Five years' experience in front office operations, preferably in a medical or med spa setting. High school diploma or equivalent required; associate or bachelor's degree preferred.
Essential Skills and Abilities:
Strong knowledge of med spa services including injectables, laser treatments, body contouring, and skincare retail. Understanding of clinical workflows and patient experience best practices. Strong PC skills; experience with EMR/booking systems preferred. Excellent communication skills with a strong focus on client service and experience.
RESPONSIBILITIES
Manage daily check-in, check-out, appointment scheduling/confirmations, inbound inquiries, and retail sales. Coordinate scheduling needs for front office operations and communicate updates such as meetings or scheduling adjustments. Ensure smooth and efficient front desk operations, including phone management and booking accuracy. Close and reconcile daily financials (cash, credit, and third-party financing/partner programs). Partner with leadership on promotions, events, pricing initiatives, and client engagement strategies. Monitor and track retail, injectable, and supply inventory levels. Support implementation and adherence to office policies and procedures. Provide front desk coverage during high-volume days or as needed based on business demands. Maintain compliance with applicable healthcare regulations and safety standards. Foster a welcoming, team-oriented environment focused on exceptional client service.
