Monday - Friday - 30+ hours a week. Flexible hours available. On-call for Concierge shifts, which can vary from day, evening and weekend shifts.
Job Summary:
We are seeking a highly organized, customer-oriented HOA Office Assistant to join our team. In this role, you will be the first point of contact for our residents. You will support daily community operations by handling inquiries, maintaining records, coordinating vendor communications, and assisting the Property Manager and Concierge with administrative and front desk tasks to keep the community running smoothly.
Job Responsibilities:
Post payments to resident accounts in Rent Manager Enter all charges to resident accounts in Rent Manager Send reminder notices monthly on the 7th or the first business day after Send late notices monthly on the 16th or the first business day after Send statements monthly on the 20th or the first business day after Code bills and give to General Manager for approval Enter bills into Rent Manager on schedule Maintain monthly invoicing log Setup new vendors as needed Ensure vendor compliance Act as liaison between renters and owners as needed Assist with board meetings and resident events and attend as needed Be on-call for emergencies Fill in for all Concierge shifts as needed Provide professional customer service to all residents, their guests, and contractors Perform GM's responsibilities as needed when he/she is out of the office for vacation, sick time, etc. Perform other related duties as assigned
