Job Description

Tulsa's Premiere Senior Community is seeking candidates for a Lead Concierge position. Apply today and come join our team. Reference Job # 130913 The Lead Concierge position will have 2 days off per week, but requires 2 Saturdays per month and 2 Sundays per month plus PRN as needed. Concierge hours are 8am-8pm 7 days a week. This is not a Monday-Friday job. Tuesday and one of the weekend days are usually the days off, but remember PRN as needed to fill in for any Concierge vacant shift. The ideal person for this High level Concierge position has the captivity of 1st impression of Southern Hills with the whimsy of Disney.. Someone that doesn't need hand holding, that can grow, lead, and manage the Concierge department. Someone that is comfortable both with the Concierge Help Center and the Residents. Must be someone tech savvy, SOP building, and experienced with Excel and SharePoint Background check, pre-employment drug screen, valid driver's license, ability to obtain an Oklahoma Notary Seal required.

Non-Exempt Job Summary/Objective:
The Concierge Lead ensures consistent coverage and smooth daily operations of the IL and HC concierge desks, managing scheduling, process implementations, guest services, and resident requests. This role requires strong communication, organization, and customer service skills in a fast-paced environment.
Supervisory Responsibilities:

Essential Functions/Duties/Responsibilities:
Schedule both IL & HC concierge desks to ensure adequate coverage Monday through Sunday 8am-8pm. In the event a coverage cannot be attained due to a callout, the lead will step in and cover the vacant shift. Cover both IL & HC concierge lunch and breaks M-F. Security will assist in weekend coverage for lunch and breaks when the lead is not working. Manage Guest Suite Reservations. Oversee the booking, check-in, and check-out process for guest suite, ensuring a seamless experience for residents and their guests. This includes daily communication with the concierge team to confirm all bookings have been updated in the live document. Manage transportation requests that are submitted to the IL & HC concierge desks. Manage Resident Absence submissions submitted to the IL & HC concierge desks. Update, develop, and implement processes to remain current with modern technologies and efficiencies. Supervise, coach, and develop the concierge team to align with the organizational culture, standards, mission, and vision.

Strong analytical and problem-solving skills. Ability to function well in a high-paced, and at times, stressful environment. Proficient with Microsoft Office Suite and/or related software. Ability to work with multiple and diverse personalities, continual interruptions, simultaneous and changing priorities, while maintaining a calm and professional demeanor.
Education and Experience:
High school diploma or equivalent combination of education, training, and experience is required. Ability to obtain an Oklahoma Notary seal is required. A minimum of 3 years of experience in customer service or an administrative support position is required. Flexibility in schedule availability to include evenings, weekends, and holidays is required.
Physical Requirements:
An extensive amount of sitting, with a moderate amount of walking and standing, and an occasional amount of kneeling, bending at the waist, and reaching above the head and shoulders. Ability to occasionally lift and push up to 25 pounds. Frequent use of ordinary communication, including normal levels of hearing and vision. Ability to use a computer or other office equipment for an extensive period of time.
