Job Description

POSITION SUMMARY
Responsible for answering and routing telephone calls, greeting visitors, and directing them to their desired location. Assists with clerical support to other administrative personnel as needed.
ESSENTIAL FUNCTIONS
Answer and route all incoming telephone calls to the appropriate party, ensuring prompt, professional attention to each caller. Uses paging system or telephone transfer procedure to notify staff of calls as appropriate. Greets people entering the facility, directing them to their desired location or notifying the appropriate staff member of their presence as needed. Assists with clerical support for the Secretary/Receptionist, Office Manager, and other administrative personnel, including but not limited to preparation, copying, and distribution of correspondence, reports, daily menus and activity notices, etc. Sorts and routes incoming mail and packages to residents and staff as needed. Maintains resident confidentiality. Attends and/or completes in-service education and training as directed by facility policy, regulation, and/or Supervisor. Performs all duties in compliance with all federal, state, and local regulations and established facility policies.

QUALIFICATIONS
Education/Certifications:
High School graduate or equivalent preferred.
Experience:
Experience with Microsoft Office software products, including Word, Excel, and calendar programs. Demonstrated delivery of exceptional customer service.
Skills:
Ability to understand and follow written and verbal instructions in the performance of duties. Ability to communicate clearly and effectively, both verbally and in writing, with residents/patients, staff, family members, vendors, suppliers, and other contacts, both inside and outside of the facility. Patience and a positive attitude towards the elderly population and a desire to provide a service to the community.
PHYSICAL DEMANDS AND REQUIREMENTS
Ability to stand, walk, sit, stoop, bend, and reach for extended periods. Ability to lift up to 10 pounds frequently (up to 66% of the time spent in performance of duties), and up to 25 pounds occasionally (up to 33% of time spent in performance of duties). Manual dexterity that allows grasping, carrying, and holding equipment and supplies as needed to perform tasks. Ability to see, hear, and verbally communicate with residents, visitors, staff members, and other contacts during performance of duties.
