Job Description

This is not a standard assistant position. It's a calling. Like Pepper Potts to Iron Man for the trust. Or Andy to Miranda for the intensity. We are a startup media and entertainment company building MAJOR film, TV, media, and touring live events, with work that impacts millions of people online and thousands of people at live events. This role manages the full scope of the CEO's professional and personal operations so the CEO can lead. The Personal Assistant is handles the personal details, the gate keeper, and "right hand person" --- steps directly from supporting CEO at home to executive support with the team.

WHAT THE ROLE DEMANDS

The role is extreme, demanding and filled with urgency. There are no small mistakes and no slow season. Every event, deadline, and detail is public-facing. The role carries personal and executive responsibilities at the same time, at any hour, on short notice, from day one. Candidates who need a predictable 9-to-5 are not the right fit.

IDEAL CANDIDATE

Highly organized and detail-oriented, with the ability to bring calm to chaos. The ideal candidate holds chaos without absorbing it, reads the room, adjusts energy accordingly, and never oversteps their lane. They pair a nurturing spirit with sharp instincts: high attunement, real discretion, and a natural hospitality gift that shows up as care, not performance. They want to be inside the momentum of something rising, close to big things in motion.

THE REALITY OF THE ROLE

On-call and available 24/7, including evenings, weekends, and travel on short notice 6-day weeks and 12-hour days are not uncommon; hours run 8, 10, or 12 depending on the day Rigorous demands from day one Personal AND executive support, balancing both worlds and clearing the path

A TYPICAL DAY

There is no "typical Tuesday." One day includes home décor shopping, calendar management, and team meetings. The next includes driving the CEO, airport pickup, a production meeting, and handling a personal matter that came up last minute. The role is responsible for supporting the CEO, period. Whatever that requires on a given day is the job that day.

RESPONSIBILITIES

Manage the CEO's day-to-day life: calendar, travel, and correspondence, anticipating needs before they are voiced Provide high-trust personal support with full discretion and confidentiality Keep the executive home running smoothly: meals handled, home projects organized, daily errands completed Interpret voice notes into clear execution and loop in the right team member to carry it out Support the stage play build-out: logistics, vendors, and moving pieces in a fast-changing environment Serve as the buffer between the CEO and everything competing for his time Solve problems in real time: bring solutions, not just flags Coordinate with contractors, vendors, and production partners, including getting quotes and checking in on progress Research radio stations, TV companies, advertising partners, and venues, and deliver summary reports Locate staff, contractors, support, and resources Handle administrative tasks: shopping (Amazon, Home Depot, etc.), travel booking, sorting papers Handle hands-on tasks: dry cleaning pickup, food pickup, making sure the CEO has eaten, driving people around as a professional driver, refueling the car, and anything that saves the CEO's time SKILLS Comfort with AI tools (ChatGPT, Claude, etc.) to speed up research, drafting, and scheduling; in 2026 this is baseline, not optional Proficiency in ClickUp or Monday for project and task management Google Workspace fluency (Docs, Sheets, Slides) for real-time collaboration Basic bookkeeping and invoice tracking (QuickBooks or similar) Strong writing and proofreading; drafts and represents the CEO's voice accurately Experience managing multiple moving projects at once without dropping details Experience supporting high-profile events: greenroom, backstage, red carpet, or similar fast-moving, high-visibility environments Travel coordination and last-minute packing and logistics Ease in both formal professional settings and casual at-home environments Strong instincts for reading a room and adjusting energy accordingly

REQUIREMENTS

Valid driver's license and comfort driving as needed (required, not a nice-to-have) Ability to travel to different cities on short notice Ability to handle a demanding schedule Supreme communication skills and a pleasant personality Ability to juggle many tasks and tolerate interruptions Comfort going beyond desk work into hands-on work Comfort working anywhere: home, office, studio, warehouse, coffee shop Strong computer research skills Deep familiarity with gospel, R&B, hip-hop, and pop culture Full discretion and confidentiality; background check required Previous experience as an assistant or PA preferred College degree or equivalent experience; applicants are evaluated on merit, not formalities

NICE TO HAVE

Deep love for art, film, TV, music, concerts, and theatre and stage plays Familiarity with the Enneagram and the Working Genius model

WORK ENVIRONMENT

Small, friendly, and non-political Work takes place at the executive's home, the office and production studios, and on the road; travel is required Fast-paced with a chill/corporate vibe Business casual, business formal on front-facing days
