Meetings and Event Manager Location:
Ketchikan, Alaska Reports to: Director of Food & Beverage Job Overview The Meetings and Event Manager is responsible for generating and responding to event sales and inquiries and ensuring successful execution of meetings, conferences, and social events. This role combines sales, client relations, and logistical planning to deliver exceptional event experiences. The manager will work closely with clients, vendors, and internal teams to coordinate all aspects of events, ensuring client satisfaction and business profitability. Key Responsibilities Sales and Business Development Proactively identify and pursue new sales opportunities for meetings, conferences, corporate events, and social gatherings (e.g., weddings, galas). Develop and maintain relationships with clients, event planners, and other key decision-makers to drive event bookings. Prepare and deliver proposals with prospective clients in TripleSeat. Meet or exceed monthly and annual sales targets for event bookings. Maintain a database of clients, prospects, and leads, tracking communication and sales progress in TripleSeat. Event Planning and Coordination Collaborate with clients to understand their needs, objectives, and event requirements, providing tailored event solutions. Create detailed event plans, including timelines, budgets, menus, AV needs, room setups, and other logistical details. Coordinate with internal departments (e.g., Chefs, Front of House and Hotel teams) to ensure successful event execution. Serve as the primary point of contact for clients throughout the planning and event process, managing all pre-event and on-site logistics. Conduct site inspections, offer creative solutions for event design, and provide guidance on event flow. Create detailed Banquet Event Orders (BEOs) and event plans, including timelines, budgets, menus, AV needs, room setups, and other logistical details. Client Relations and Service Build strong relationships with clients through excellent customer service, anticipating needs and resolving issues promptly. Ensure that client expectations are met and exceeded during all stages of the event process. Follow up with clients post-event to gather feedback, address concerns, and identify opportunities for future business. Financial and Administrative Responsibilities Prepare and manage event budgets, ensuring profitability while maintaining high service standards. Create contracts, process deposits, and maintain accurate financial records for all events. Provide administrative support to the F&B Director. Team Collaboration Work closely with the operations teams to communicate event details and ensure flawless execution. Coordinate vendor services such as floral arrangements, transportation, entertainment, or additional event features. Lead on-site event setup and be present for key moments, troubleshooting any issues that arise. Proficiency required in the following systems (training provided where noted): TripleSeat — primary CRM and event management platform for proposals, BEOs, and reporting Google Sheets — budget tracking and reporting Basic AV and room technology operation preferred Qualifications Experience in hospitality, with sales experience preferred. Familiarity with excel or other data tracking programs. Skills and Competencies Sales acumen : Ability to generate leads, close deals, and manage client relationships.

Flexibility :
Ability to work evenings, weekends, and holidays as required by event schedules, or ability to ensure adequate coverage to ensure quality event execution and consistent client communications. Compensation Base salary plus commission and/or incentive structure based on event sales experience. $60,000.00 - $72,000.00 per year
