Job Description

Provides critical on-site and operational support to ensure events run smoothly and clients receive exceptional service. This role is highly flexible and event-driven, supporting both planned events and recurring functions such as luncheons by performing the following essential functions. The list of essential functions is not exhaustive and may be supplemented as necessary. Other duties may be assigned. Regular and predictable attendance and punctuality are essential functions of this position.
Event Support:
Assists with event setup, execution, and breakdown, including equipment (tables, chairs, food service, signage, audio-visual, and other related materials/equipment) and personnel (temps, volunteers, etc.). Ensures clients and guests have what they need throughout the event. Monitors event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise.
Staff & Vendor Coordination:
Directs and supports temp staff during events. Trains/orients volunteers and support staff as required for events. Assists with vendor and partner coordination.
Client Interaction:
Serves as a welcoming point of contact for clients and guests. Provides information to the public, clients, vendors, and partners when requested. Addresses minor issues independently and escalates as appropriate. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and abilities required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. High School Diploma (or equivalent) and two years directly-related experience, or an equivalent combination of directly-related education and experience. A Class D driver's license and good driving record are required and must be maintained throughout employment. The complexity, guidelines, supervisory controls, and supervision responsibilities described below are representative of this position.
SUPERVISORY CONTROLS
The supervisor sets the overall objectives and resources available. The employee and supervisor, in consultation, develop the deadlines, projects, and work to be done. The employee is responsible for planning and carrying out the assignment; resolving most of the conflicts which arise; coordinating the work with others as necessary; and interpreting policy on own initiative in terms of established objectives. The employee may also determine the approach to be taken and the methodology to be used. The employee keeps the supervisor informed of progress, potentially controversial matters, or far-reaching implications. Completed work is reviewed from an overall standpoint in terms of feasibility, compatibility with other work, or effectiveness in meeting requirements or expected results.
SUPERVISORY RESPONSIBILITY
The employee provides task supervision to temp staff and volunteers. All supervisors are responsible for the safety and welfare of subordinates and must be familiar with EEO fair employment laws and practices (Title VII as amended, including sexual or racial harassment or discrimination, ADEA, ADA, FMLA) and for ensuring that fair and non-discriminatory employment practices are followed within his/her area of responsibility. Employee is responsible for securing the building both during the workday and at the end of the workday.
COMPLEXITY
The work includes various duties involving different and unrelated processes and methods; the decision regarding what needs to be done depends upon the analysis of the subject, phase, or issues involved in each assignment, and the chosen course of action may have to be selected from many alternatives; the work involves conditions and elements that must be identifies and analyzed to discern interrelationships.
GUIDELINES
Guidelines for performing work are scarce or of limited use; the employee uses initiative and resourcefulness. The employee often makes decisions that affect persons or situations beyond the scope of his/her job.
