From desert racing to major tradeshows, our events move fast and require disciplined execution behind the scenes. We are seeking a highly organized Senior Events Administrator to support our Race & Events operations and ensure logistics, documentation, and timelines remain accurate and on track. This is a senior-level administrative support role reporting to the Race & Events Manager. You will not set event strategy or manage staff. You will ensure operational details are handled thoroughly and on schedule. This is a full-time, in-office position based in Arroyo Grande, California. Remote or hybrid arrangements are not available. What You'll Do Maintain and manage the master events calendar, ensuring visibility of schedules, deadlines, staffing needs, and preparation timelines. Coordinate logistics for races, tradeshows, and activations, including travel arrangements and required documentation. Prepare and maintain detailed event preparation sheets and tracking materials. Secure seller permits, insurance certificates, and required compliance documentation. Track event expenses and process internal financial requests. Support review and processing of sponsorship, racer, and series requests. Prepare, track, and maintain sponsorship and ambassador agreements. Maintain tracking spreadsheets for sponsorship allocations and commitments. Communicate deadlines and event requirements clearly across departments. Support select local events as required. Ideal Background Several years of progressive administrative responsibility in a structured environment. This is not an entry-level position. Experience supporting an Events Manager, Marketing team, Operations department, or executive leadership preferred. Experience coordinating logistics, contracts, documentation, vendor relationships, or compliance processes strongly preferred. Background in events, tradeshows, sponsorship support, operations administration, or deadline-driven project coordination is a plus. Demonstrated experience managing complex calendars, multi-layered tracking spreadsheets, and compliance documentation. Qualifications 5+ years of experience in administrative, operations, events, or executive support roles. Proven ability to manage multiple concurrent projects and deadlines with minimal oversight. Strong organizational discipline and attention to detail. Professional written and verbal communication skills. Proficiency in Google Workspace and Microsoft Office 365. Experience with QuickBooks or similar accounting systems preferred. Ability to support occasional weekends and local events. Must reside within commuting distance of Arroyo Grande at time of application. Candidates should be currently located in San Luis Obispo, the Five Cities area, or Santa Maria. We are seeking candidates already established locally and available for immediate in-office employment.
